General Duties & Responsibilities:

  • Create & maintain allergen free menus (Gluten, Dairy, Egg, Vegan, Vegetarian, Nut & Pescatarian) during each menu change
  • Help ensure that healthful, balanced meals are served throughout the resort

o Assist and have a voice with menu planning, develop, update and distribute ingredient lists

  • Enhance, improve (update) & implement current protocols & systems within operations & training
  • Work in cooperation with Dining, Kitchen & other food and beverage outlets

o Menu Planning, Ingredients Lists, Labeling, etc.

  • Make suggestions regarding best practices for purchasing and preparing foods

o Offer suggestions regarding new food trends/recipes, newer, “cleaner” and more cost-effective products for special diets, as well as the dining room as a whole.

  • Handle special dietary requests by communicating directly with guests, dining room staff & our culinary team

o Phone, email & face to face

o Requires someone who is organized, timely, has strong communication skills & handles themselves professionally

  • Monitor food service operations to ensure that nutritional, safety, sanitation & quality standards are met

o Be visible, supportive, observant

  • Update allergy resources at Gigi’s, Woodloch Bakery, Country Store, Pool Bar & Lake Grill

Areas of Focus Initially:

  • Shadow & observe operations, protocols & procedures at the Resort in both the dining & kitchen departments to gain better understanding of our style of service, menus & current management of special diets
  • After completing the initial stage of “observing & absorbing’ our current operations, you will begin to focus on the following areas:
o Areas of Focus Continued:
§ Training
  • conduct session-style presentations with both kitchen & dining room staff monthly for awareness & education
  • Keep the current training guides & materials related to special diets up to date
  • Reinforce and remind staff of methods/practices that take place daily that reinforce awareness (using tickets, daily special soup for lunches and dinners, reading diet sheets before the meal and then confirming options with the kitchen before the meal)
  • assist in our training process a section for new hires (culinary / waitstaff) related to special diets

§ Work directly in the dining room/kitchen on arrival/check-in meals.

  • During day à help to organize & coordinate special diet menus for arriving guests

o Create diet sheets using Bald Eagle, Redbook and the menu templates, as well as meet with any guests that have not notified the Dining Room of special diet needs

  • Communication/Coordination

o Prior to guest arrival à Place and/or ensure all diet sheets on proper tables for known special diets, double-check for accuracy.

o During the meal à introduce yourself, explain diet sheets, answer any questions and make our guests feel comfortable!

o Support and provide staff with information needed

  • Review menus & procedures with “last minute” special diet requests

o Ensure that special diet book is up-to-date with ALL changes, make sure that enough diet tickets are printed for the night, confirm and alert waitstaff of special allergen free soup, as well as the kitchen staff member that will be managing diet requests for the meal.

o Make sure Kitchen is aware

§ Assist with establishing our SD product list / alternatives / options

  • Maintain and document inventory tracking, while ensuring that options offered are still viable, and actually being verbalized/utilized by staff and guests.
  • Make appropriate suggestions and then changes to the SD product list/options offered

§ Return Guest Calls/inquiries to our guests about special diets

  • Be in communication with upcoming guests about their stays at WL

o Document incoming special diet requests in Bald Eagle, Redbook, and Calendar in office, etc.

  • Respond in a prompt, professional manner, while representing WL values.
  • Find a way to say yes…work within our parameters to put the guest first, and find a way to make their requests a reasonable reality!

§ Be a liaison between the Dining Room and the Kitchen

  • We are all one team à help both Front of House (Dining Room) and Back of House (kitchen) in whatever way possible.

o Help maintain an environment in which all staff can do their work efficiently and effectively.
