The individual in this position reports to the Chief Nursing Officer. This position is responsible for working with Department Directors and the House Supervisor on duty to plan/maintain daily staffing and monthly schedules for nursing departments.
The individual in this position will be required to fully understand the purpose and operation of Nursing Administration and Patient Care Services along with having the ability to make decisions based on sound judgment when a situation dictates.
ESSENTIAL FUNCTIONS:
- Maintains knowledge of current labor contracts and administers staffing needs accordingly. Interprets contracts and hospital policy and uses good judgment in their application.
- Assists with the posting of work schedules with approval of Nursing Department Directors.
- Processes Personnel Action Requests (PAR) for nursing staff in a timely manner.
- Continuously prepares, updates, double-checks, and adjusts staffing to meet patient care needs and matrix on succeeding shifts (evenings, nights, next day, and weekends). Works closely with Nursing Department Directors and House Supervisors to ensure adequate and appropriate staffing for all shifts.
- Finds replacement or coverage for absences, including sick calls, using the most cost-efficient appropriate resources.
- Enters schedules and daily worksheets into the electronic time management system and/or validates daily reports.
- Attends meetings to give input and receive feedback regarding pertinent issues and services provided.
- Generates reports as requested for agency hours, agency costs, and other reports as necessary.
- Requests agency personnel from the appropriate company and follows verification processes as defined by standard team process.
- Obtains access for and validates readiness of agency personnel for Epic, BMV, and Pyxis prior to the agency staff reporting for the scheduled shift.
- Maintains and validates accurate records of working hours, absences, staffing variances, low census, sick calls, vacation, and holidays, etc. in the electronic timekeeping system and reports concerns to the appropriate Nursing Department Director. Verifies that all records are accurately reflected on employee timecards.
- Maintains roster of names and phone numbers of staff ensuring current data is listed.
- Maintains roster cross-referencing nursing personnel competencies for placement in each nursing unit.
- Assists Nursing Directors and House Supervisors in continuous monitoring of changing resources and resource needs throughout each shift and proposes cost-efficient solutions for utilization of resources.
- Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
- Ensures no injuries to self or others by following safe work practices and policies. This includes, but is not limited to: security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
- Ensures self-compliance with organization policies and procedures, as well as labor agreements.
- Ensures the interface with team members and other support groups is conducted in a courteous and efficient manner conducive with the organization’s values.
- Conducts self in a professional manner and ensures personal appearance meets the standards necessary to perform the job function while representing the organization.
- Ensures that additional accountabilities, as may be required by management, be handled in a manner necessary to meet organizational standards.
EDUCATION & EXPERIENCE:
- Education:
- Associate’s Degree or a combination of education and equivalent experience, preferred.
- Experience:
- Previous experience as a Licensed Practical Nurse or Registered Nurse in an acute care setting, preferred.
- Previous experience as a staffing coordinator or other clerical hospital experience, preferred.
- Skills/Competencies:
- Must possess the ability to manage work schedules for the Nursing staff.
- Ability to communicate effectively in a variety of stressful situations. Utilizes diplomacy and tact in interactions with staff and the public.
- Proficient computer skills to include Microsoft Word, Excel, Access, Outlook, PowerPoint and Publisher. Experience with UKG and electronic scheduling systems.
- Must have ability to work accurately with numbers and schedules.
- Ability to continuously multi-task, with strong critical-thinking and problem-solving skills.
- Demonstrates competency on equipment listed on department specific checklist.
- Critical thinking skills: Seeks resources for direction, when necessary. Performs independent problem solving. Decision-making is logical and deliberate.
- Performs actions that demonstrate accountability. Exercises safe judgment in decision-making. Practices within legal and ethical guidelines.

PHYSICAL REQUIREMENTS:
- Occasional or prolonged standing, walking, lifting, reaching, kneeling, bending, stooping, crouching, pushing, and pulling.
- Manual dexterity, light physical effort, ability to lift/carry up to 10 lbs. (supplies and equipment).
- Good reading eyesight. Able to see clearly 20 feet or more, to judge distance and space relationships, and to see peripherally.
- Ability to communicate using verbal and/or written skills for accurate exchange of information with physicians, nurses, health care professionals, patients and/or family, and the public.
