    Substitute Office Assistant Job Description

    The Substitute Office Assistant is responsible for ensuring proper procedures and policies are followed regarding various processes. This position will maintain the area's organizational needs, including assisting with multiple communications. This position requires sound judgment and confidentiality.

    Duties and Responsibilities

    • Help to enforce established building security and safety procedures.
    • Assist in checking in all visitors, subs, and volunteers in the visitor management system.
    • Support with early dismissals, late-arriving students, and attendance logs.
    • Communicate security matters to front office staff and administrators.
    • Answer questions for incoming visitors/parents.
    • Accept New Household Change forms and Pick Up Authorizations.
    • Assist with office duties, including scanning, filing, mail distribution, etc.
    • Help check in Substitute Teachers.
    • Report any broken facility items or messes to the Facilities Manager.
    • Other duties as assigned.

    Education and Related Work Experience

    • Associate's degree or equivalent work experience prefered.
    • Strong organizational skills and coordination skills.
    • Strong interpersonal skills with an emphasis on excellent customer service.
    • Works well in a team environment.

    Skills and Abilities

    • Communicate with parents, students, staff, Administrators, and visitors.
    • Strong interpersonal and customer service skills while working with a diverse population.
    • Ability to understand and carry out instructions given in written, oral, or diagram form.
    • Effectively solve problems through a positive, collaborative approach and proactively suggest updates to streamline office/school processes.
    • Ability to work with limited supervision and to be self-motivated.
    • Display punctuality and consistency in reporting to work, meeting deadlines, and responding to administrative directives, including attending training.
    • Ability to use sound judgment and to maintain confidentiality.

    Physical Requirements and Working Conditions

    • Primarily sedentary work at a computer; however, some duties are performed throughout the school and indoor or outdoor event locations with potentially adverse weather conditions.
    • The employee must occasionally lift and/or move up to 25 pounds.
    • Vision abilities required include close vision, distance, color, peripheral, depth perception, and ability to focus.
    • Work hours may occasionally be extended.
    • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this job.

    • This position reports to the Human Resources Manager

    Hiring Hourly Salary: $16.25
