University of Pittsburgh Physicians is hiring a full time Supervisor for the Heart and Vascular Institute at Magee. This position works 7:30-4 Monday-Friday with 1 work from home day per week. No nights, weekends or holidays!
Purpose:
Perform a variety of clerical, secretarial and office management duties. Assess and delegate the clerical workload of the department in order to maintain timely production flow.
Responsibilities:
- Maintain an accurate filing system ensuring that patient profiles, admission and discharge reports, insurance precertification letters and bed observation reports, etc. are readily available.
- Order, log and organize supplies for the department.
- Copy or transcribe all correspondence and/or reports as requested.
- Coordinate the daily operations of the department including delegating secretarial assignments.
- Coordinate schedules of professional staff for weekend, vacation and illness coverage.
- Participate in yearly continuing education programs including fire, safety, disaster and Universal Precautions.
- Supervise other secretarial staff; upon request participates in their annual performance appraisals by providing information to the Director regarding accomplishments and/or areas in need of improvement.
- Record and document daily all resolution of observation patients.
- Coordinate office/equipment moves in the department, minimizing disruption to the daily operations of the department.
- Answer calls to the department and responds to routine requests for information; triage other calls to the appropriate professional.
High school diploma. 4 - 5 years of secretarial experience required.
Excellent typing skills required. Thorough knowledge of English grammar, spelling and punctuation with skill in composing routine memos required. Advanced knowledge of operational procedures for standard office machines, including fax machines, PC's, photocopiers and printers required. Expertise with various software programs required. Ability to perform basic statistical calculations required. Skill in communicating in a clear, concise and courteous manner required. Ability to work a flexible schedule required. Ability to maintain discretion and confidentiality at all times required.
