The Team Coordinator (TC) plays a pivotal role in ensuring the efficient operation and coordination of the team's activities. Acting as a strategic partner, the coordinator provides high-level administrative and project management support, handling a wide range of complex matters related to the team's day-to-day operations and long-term initiatives. This multifaceted role requires exceptional organizational, communication, and problem-solving abilities to anticipate needs proactively, prioritize tasks effectively, and drive projects forward in a timely and organized manner. The TC serves as the central point of contact for the team, fielding inquiries, managing schedules, and coordinating logistics with discretion and poise. They work closely with team members at FYI+, collaborating cross-functionally with other departments and teams as necessary. The ideal candidate must possess a keen ability to juggle multiple priorities, maintain strict confidentiality, and uphold a high degree of professionalism and attention to detail. This position is designed to provide administrative and project coordination support to the assigned Senior Director(s).
With a solutions-oriented mindset, the Team Coordinator must be adept at synthesizing information from various sources and preparing clear and compelling presentations, reports, and written communications. They must also have strong project coordination experience, ensuring key initiatives stay on track through meticulous planning, delegating tasks, and monitoring progress. The Team Coordinator exercises independent judgment and discretionary authority in operational decisions, resource allocation, and policy implementation to support organizational effectiveness. Overall, the TC plays a crucial role in supporting the team's success at FYI+ by streamlining operations, facilitating effective communication, and enabling team members to focus on their core responsibilities. This role requires a unique combination of administrative expertise, project management skills, and an unwavering commitment to excellence. The TC provides high-level administrative and project coordination support to the team. This role acts as a strategic partner handling a wide variety of complex matters related to the team's operations. The ideal candidate will have excellent organizational, communication, and problem-solving abilities to anticipate needs, prioritize tasks, and drive projects forward efficiently.
What You'll Do:
- Modify project timelines and resource allocations based on operational assessments
- Interpret organizational policies and procedures for day-to-day implementation
- Authorize schedule changes and meeting coordination for senior leadership
- Make decisions regarding vendor coordination and routine procurement needs
- Determine communication priorities and messaging strategies for stakeholder relations
- Manage the team's complex schedules with independent decision-making authority, scheduling meetings, interviews, and resolving scheduling conflicts
- Developing and managing team meeting agendas, minutes, and other records
- Act as the primary point of contact for assigned projects with autonomous authority, fielding inquiries with discretion and poise
- Prepare presentations, reports, memos, correspondence, and other materials with a high degree of accuracy Coordinate logistics and details for team meetings, events, and activities with independent judgment on resource allocation and priorities
- Serve as a project coordinator for key team initiatives with discretionary authority, ensuring deliverables stay on track
- Maintain comprehensive filing systems for important team records and documentation
- Perform administrative tasks like ordering supplies, managing databases, and tracking expenses with independent spending authority within established limits
- Research and synthesize information to provide briefings and summaries to the team
- Maintain confidentiality about sensitive team matters
- Collaborate cross-functionally with other departments and external/internal teams as needed
- Prioritizing and managing the team's collective schedules and commitments with autonomous decision-making
- Preparing clear presentations, reports, and written communications
- Coordinating seamless logistics for team meetings, events, and activities with independent authority over operational decisions
- Serving as project coordinator to drive key initiatives efficiently with discretionary judgment
- Maintaining highly organized filing systems
- Upholding strict confidentiality with discretion and building collaborative cross-functional relationships
What You Need:
- Bachelor's degree preferred
- Office Administration 4 years of experience
- Attention to detail
- Project Coordination
- Verbal communication abilities (Trades certificate / diploma)
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
