Technical Staff Assistant (Contractor)

Activities

As Staff Assistant (Contractor) to the Technical Department, you will be responsible for providing daily secretarial support for the Technical Manager, Process Support Engineers, Project Engineers, Information Systems Personnel, Inspection team and sometimes the Lab group. 

Duties could include, but are not limited to:

• Perform administrative duties for the Technical Group
• Maintain necessary filing systems and document retention
• Coordinate and generate data within the department for monthly reports and special assignments, expense reports and other as requested
• Assist with budgeting process, maintaining spreadsheets and SAP reports
• Manage department intranet page
• Assist with SAP functions, enter purchase requisitions
• Coordinate domestic and international travel arrangements 
• Distribution of incoming and interoffice mail, prepare and mail FedEx, USPS packages
• Maintain office supplies for staff and paper/printer supplies for copiers
• Management of multiple calendars, including conference rooms and staff
• Scheduling of meetings, including food orders as requested
• Assist newly hired with the onboarding process
• Serve as the main contact for Site Visitors for Technical Department, ensuring site visitor requirements are followed
• May serve as documentation unit for EOC
• Assists with special events on and off site
• Serve as back up for other area administrative assistants as well as Site Executive Administrative Assistant

Candidate Profile

As one of TotalEnergies' six refining and petrochemicals platforms worldwide, the Port Arthur Platform has a daily processing capacity of over 200,000 barrels per day and is our largest facility in the United States. The refinery can process heavy crude oil as well as lighter domestic crudes. It also has a dedicated unit to produce low-sulfur fuels, which reduce greenhouse gas emissions. We own a steam cracker in a joint venture with BASF that can transform a wide range of feedstocks such as ethane, propane, butane and naphtha into ethylene, propylene, butadiene, and other chemical raw materials.

Experience:

• Associates of Applied Science in Office Management & Administration or related degree, plus 3-5 years of administrative clerical experience preferred
• Knowledge of Refining & Petrochemical Industry, office procedures, accounting and budgeting preferred
• SAP experience preferred
• Mid-level skills in Microsoft Word, Excel, and Outlook
• SharePoint experience preferred
• Must be able to work well under pressure, prioritize, and multi-task
• Must have strong attention to detail and excellent organizational skills
• Excellent communication and interpersonal skills
• Lifting +/- 20 lbs required
