Overview
Highly trustworthy and detail-oriented Temporary Part-Time File Scanning Assistant to support a records digitization project. This role involves scanning and converting confidential, historical employee files into electronic formats and properly organizing them in digital filing systems. In addition to scanning responsibilities, the selected candidate may occasionally assist with basic receptionist duties, such as greeting visitors, answering phones, or directing inquiries, as needed.
Responsibilities
- Handle and sort archived employee files with care and accuracy
- Scan physical documents into PDF or designated digital formats using office scanning equipment
- Ensure proper file naming conventions and folder organization according to company standards
- Maintain strict confidentiality and security of all employee records at all times
- Conduct routine quality checks to ensure scans are clear, complete, and properly saved
- Coordinate with HR or administrative staff regarding any discrepancies or missing documentation
- Assist with front desk coverage as needed, including answering phones, greeting guests, and directing visitors
- Maintain clean and orderly workspaces and equipment during the digitization process
QUALIFICATIONS
- High school diploma
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Proven ability to maintain confidentiality and exercise discretion
- Comfortable using office equipment such as scanners, computers, and basic file management software
- Professional personal presentation
- Knowledge of administrative and clerical procedures
- Excellent communication skills, both written and verbal, in positive or negative situations
- Highly organized with attention to detail
- Adaptability/Flexibility - has the ability to adapt to changes in the work environment and deal with frequent change, delays or unexpected events
- Self-motivated, comfortable working independently and as part of the team
- Ability to use initiative when needed
