The Town of Snowmass Village is looking to hire a Tourism Coordinator to join our Tourism Department!
$1,000 sign-on bonus available!
This is an in-person position with possibility of a hybrid schedule
We are looking for a Tourism Coordinator that will perform office and administrative work while supporting Group Sales, Marketing, and Special Events divisions.
Some of the day-to-day duties are listed below:
- Processes quarterly sales production/performance reports and provides to Group Sales Director and Finance for quarterly bonus review and payout.
- Maintains all performance metrics for Marketing, PR and Group Sales in relation to the business plan.
- Takes notes at all Board meetings & Group Sales Advisory Committee meetings; records and oversee meeting minutes for all Snowmass Tourism board meetings and distribute accordingly;
- Maintains Board attendance records and provide to the Town Clerk annually.
- Assembles and produces Board packets as directed by the Snowmass Tourism Director.
- Creates and maintains performance “dashboard” to be presented at each Board meeting and in other applicable situations.
- Uploads and maintains all Board Minutes, additional documents and information listed on www.tosv.com. Schedules all special guest appearances at weekly sales meetings.
- Provides complex office and administrative support for Tourism Director, Group Sales Director and Group Sales Managers.
- Keeps, maintains and amends budget spreadsheets as directed by Tourism department directors as well as the Finance Director. Invoices partners, stakeholders and sponsors as needed and submits appropriate paperwork to Finance. Monitors all payments received and collects payments as required using tactical discretion based on payee’s relationship with department or event.
- Prepares bills for Finance accounts payable and manage budgets through proper coding with review of monthly finance reports and provide reports to Directors.
- Facilitates the approval process for all PO’s and credit card charges.
- Greets office visitors & lodging representatives and provides current information as requested.
- Works with the Tourism team to organize and facilitate customer and FAM events.
- Serves as the liaison for all contracted agreements. Provides maintenance/support as needed.
- Orders and maintains inventory and manages delivery for client promotional items and amenities including but not limited to annual ordering and return of lift tickets.
- Work as liaison between lodging properties and TOSV to request rooms for vendors as needed for site tours, vendors or guests (such as auditors, contract service crew, ,etc.)
- Negotiates best rates available and completes proper invoicing.
- Assists with special events as needed to help Events Manager and producers (ie: VIP tent at all free concerts, box office management, Mardi Gras, event diagrams, etc.)

The ideal candidate has the following qualifications/skills:
- Any combination of experience and training equivalent to High School diploma or GED.
- Extensive customer service and office experience required.
- 3-5 years of hotel or CVB Sales and or Convention Services experience preferred
- Two years of progressively responsible computer, administrative and supervisory office experience
- Local area knowledge and experience is beneficial.
- Ability to work independently and accurately with frequent interruptions.
- Time management skills to handle multiple and shifting priorities.
- Proficient in complex administrative and office work.
- Excellent interpersonal skills to assist clients, lodging partners and staff effectively, courteously and professionally; ability to communicate effectively using tact and diplomacy.
- Excellent computer skills including knowledge of Windows, Microsoft Office Suite including Microsoft Word, Excel, Outlook, Power Point and Sales specific software (IDSS) with the ability to learn and master new software as the need arises.
- Must be a team player
- This position may require travel and working evenings and/or weekends, as needed.
- Local area knowledge and experience is beneficial.
