Job description

The Program Coordinator is responsible for coordinating the day-to-day operations of an assigned YMCA program, site, or department to ensure high-quality delivery and positive experiences for participants. This role supports program logistics, documentation, safety practices, and communication with staff, volunteers, and participants. The Program Coordinator contributes to the consistency, efficiency, and continuous improvement of YMCA programs while upholding the mission and values of the YMCA.

Essential Functions

  • Coordinate daily operations of assigned program, site, or department to ensure smooth execution.
  • Implement program schedules, logistics, and supply management in alignment with YMCA standards.
  • Maintain accurate records, documentation, and reporting related to assigned responsibilities.
  • Communicate regularly with staff, participants, and partners to support program engagement and success.
  • Monitor participant experience to ensure a safe, inclusive, and positive environment.
  • Serve as point of contact for program setup, logistics, and follow-through.
  • Support the implementation of YMCA policies, procedures, and safety practices.
  • Provide training, guidance, or mentorship to part-time staff or volunteers without formal supervisory authority.
  • Apply critical thinking to address challenges, improve systems, and maintain program consistency.
  • Contribute to ongoing evaluation and continuous improvement of assigned program(s).

Performs other duties and tasks as assigned by leadership

Qualifications

  • Required Qualifications
  • Bachelor’s degree in recreation, education, human services, or related field preferred; equivalent experience accepted.
  • Minimum 3 years of experience supporting programs, events, or related operations.
  • Strong organizational and time management skills with the ability to manage multiple tasks.
  • Excellent interpersonal and communication skills with ability to interact effectively with diverse groups.
  • Proficiency in Microsoft Office and/or other relevant software; ability to learn YMCA systems.
  • Ability to maintain accurate records, documentation, and reporting requirements.
  • Demonstrated initiative, problem-solving, and critical thinking skills.
  • Ability to work both independently and collaboratively within a team environment.
  • Understanding of child safety, inclusion, and positive youth development principles preferred.
  • Commitment to the mission and core values of the YMCA.

All YMCA team members are expected to maintain a current and active status for all safety, risk, and

programming certifications defined by the YMCA of Greater Charlotte.

Working Conditions

  • Work is performed in a variety of environments including office, program sites, and outdoor settings.
  • Requires ability to stand, walk, and move for extended periods; occasional lifting up to 25 lbs
  • Flexible schedule may include evenings, weekends, and occasional holidays based on program needs.
  • Regular interaction with children, families, staff, and community members in active program settings.
  • May be required to travel between YMCA sites or off-site program locations.
