Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth communication and efficient office management. This role requires a proactive individual who can handle various administrative tasks while maintaining a professional demeanor.
Responsibilities
- Manage and maintain office schedules, including calendar management for team members.
- Answer and direct phone calls with excellent phone etiquette, ensuring all inquiries are addressed promptly.
- Assist in bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Perform clerical duties such as filing, data entry, and document preparation to support daily operations.
- Coordinate meetings and appointments, ensuring all necessary materials are prepared in advance.
- Serve as a dental receptionist when needed, managing patient records and scheduling appointments efficiently.
- Maintain office supplies inventory and place orders as necessary to ensure smooth operations.
- Support other administrative staff as required to enhance overall productivity.
Skills
- Bilingual proficiency is preferred to facilitate communication with diverse clients.
- Strong phone etiquette skills for effective communication with clients and vendors.
- Proficiency in QuickBooks for financial tracking and reporting.
- Experience in office management to maintain an organized work environment.
- Excellent clerical skills with attention to detail for accurate data entry and documentation.
- Ability to type efficiently for quick document preparation and correspondence.
- Familiarity with phone systems to manage incoming calls effectively.
- Previous experience as a dental receptionist is a plus but not mandatory.
