Job Title: Administrative Clerk
Job Classification: Part time (16-20 hours per week)
Reports to: Office Manager
Job Summary:
Louis Educational Concepts is looking for the ideal candidate to work part time as an administrative clerk in our home office. This person will be responsible for filing paperwork, maintaining an organized file system, and assisting with the coordination of workshops and webinars.
The Administrative Clerk should have basic bookkeeping experience, know how to manage time well, have excellent organizational skills, and be detail oriented. Candidates should have a high school diploma, but an associate’s degree or higher in a related field is preferred. Experience in the educational field is a plus. Training will be provided on the job for the right candidate to familiarize with office procedures and terminology specific to the office.
Duties & Responsibilities:
- Maintain an organized filing system of paper and electronic documents
- Copy and collate workshop materials
- Create and send certificates of completion for our workshop participants
- Check inventory
- Track copyright infringement postings and send removal correspondence
- Assist in coordinating workshops, including copying, supplies, equipment set-up, refreshments for participants, and document preparation
- Answer phone calls and take phone messages
- Research marketing lists for database of current and prospective clients
- Assist with marketing flyers, website, and social media
- Basic bookkeeping
- Light kitchen or clean-up duties
Required Skills and Abilities:
- Proven experience as an administrative assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers
- Knowledge of MS Office (MS Word and Excel, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills including grammar, punctuation, proofreading, spelling, and telephone skills
- Demonstrate professionalism among staff and clientele.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Strong organizational skills with the ability to multi-task
- Self-motivated, well-organized, and detail-oriented
Education and Experience:
- High School degree; additional qualification as an Administrative assistant will be a plus
- Two to five years of experience in a clerical role
- Computer skills and knowledge of relevant software
- Knowledge of operation of standard office equipment, clerical, and administrative procedures
- Knowledge of principles and practices of basic office management
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Manual dexterity needed for keyboarding and other repetitive tasks.
