Position Summary
We are seeking a highly organized and detail-oriented Administrative and Operations Assistant to support the day-to-day functions of our advisors and operations team. This role is vital to ensuring an exceptional client experience and the efficient running of the office. The ideal candidate is proactive, professional, and comfortable managing calendars, keeping detailed records, and assisting with both administrative and operational tasks.
Key Responsibilities
Administrative Support
- Manage calendars for multiple advisors, including meeting scheduling and coordination
- Organize and maintain electronic and physical files, ensuring accurate and up-to-date records
- Take clear, concise notes during internal and client meetings; follow up on action items as needed
- Schedule client and internal meetings, confirm appointments, and send reminders
- Prepare and edit documents, emails, and meeting materials with attention to detail
- Assist with various office administrative tasks, including scanning, mailing, and data entry
Client Service & Operations Support
- Serve as a point of contact for client inquiries via phone and email
- Assist with onboarding new accounts (paperwork preparation, account setup, welcome communication)
- Support advisors with meeting preparation and follow-up, including generation of reports and summaries
- Maintain accurate client records in CRM and other systems; reconcile data regularly
- Ensure internal procedures and compliance standards are met
Qualifications
- Associates/Bachelor’s degree is a plus; but relevant administrative or operational experience will be considered
- Minimum 1 year of experience in a professional administrative, client servicing, or financial services role
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with CRM systems is a plus
- High attention to detail, accuracy, and confidentiality
- Team player with a positive, service-oriented attitude

Pay: $30,000.00 - $50,000.00 per year
