The Administrative Specialist provides confidential administrative and budgeting support to the Vice Provost for Enrollment Management (VPEM) and to the Enrollment Management leadership team. The Administrative Specialist oversees and coordinates the day-to-day activities of the division and is the principal point of administrative contact and liaison for the VPEM. The position requires exercise of independent judgement and knowledge of the Enrollment Management Department. This individual is expected to play a key role in fostering a positive work environment with the expectation of continuous improvement and first- class customer service. Position will also provide leadership to the Enrollment Management Services Division. Collaborative and team-oriented skills with a commitment to student success are essential attributes to this position.
Duties/Responsibilities
• Provides confidential administrative and budgeting support to the Vice Provost for Enrollment Management (VPEM) and to the Enrollment Management leadership team
• Provides administrative support including interaction with visitors, calendaring, communications, scheduling, travel, and correspondence
• Tracks, monitors and follows the progress of projects, action items, and strategies throughout the division; prepares and independently composes correspondence and documents for the Vice President's signature
• Manages the division budget and budget related transactions including purchases, supplies, check requisitions and travel and expense reimbursements
• Researches and analyzes information and assists VPEM in preparing reports, presentations, publications and supporting materials
• Participates in the development of work-flow systems that provide streamlined efficiency and effectiveness across the institution
• Coordinates employment related actions for the VPEM utilizing Page Up, and performance systems; interfaces with division hiring managers and Human Resource staff throughout the selection process; manages support for new hires.
• Support directors within the division by assisting when needed.
• Perform other duties as assigned
• Bachelor's degree with 5 or more years of full-time verifiable administrative work experience, or an equivalent combination of education and years of experience.
• Experience providing senior or executive level support
• Proficiency in Microsoft Office suite
• Must have strong analytical, accounting and budgeting skills
• Ability to learn college operational, Human Resource and budget related systems
• Ability to understand issues, research and problem solve
• Ability to prioritize workflow and to direct the work of assistants and students
• Ability to promote process improvements to create institutional efficiencies
• Ability to interact effectively with constituents at all levels
• Ability to maintain confidential and sensitive issues using judgment, discretion, and diplomacy
• Must have skills in interpersonal communications and relationship building
• Must have excellent verbal and written communications skills
• Skills in organizational and time management
• Perform job duties efficiently and effectively using readily available technology tools
• Bachelor's degree is preferred
• Experience in a college or University setting is desired
