The position provides high-level administrative and clerical support to an executive to achieve corporate goals and objectives. Responsibilities include coordinating meetings and schedules, analyzing and supporting information requests, drafting correspondence; , managing expenses, payment requests, assisting in the processing of property tax payments and preparation of sales and use tax exemption certificates. The position involves contact with executive staff of the company, the general public, vendors, governmental agencies, accounting and law firms, senior management and co-workers.
Provide high-level administrative and clerical support (verbal and written) for the executive and department staff. Perform word processing, all types of correspondence (memos, letters, etc.), expense processing, time entry submissions, and numerous periodic reports. The role includes. Prepare and review presentation materials, assembling presentations from various sources and standardizing format. Manage administrative functions of the office including processing purchase orders and invoices for payment, ordering and stocking office supplies, and ensuring corporate communication materials are current and in stock. Greet visitors; maintain office upkeep. (30%)
Manage executive's business calendar. (20%)
Schedule and maintain calendar for executive, including meetings, travel itineraries and other arrangements as needed. (20%)
Assist in processing and tracking property tax payments and preparing sales/use tax exemption certificates as directed. (15%)
Work closely with other executive secretaries. (5%)

Associate's degree in business or related major or equivalent administrative work-related experience. (Typically, three years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree.)
A minimum of four or more years of experience in an administrative/secretarial role.
Effective communication skills including listening, oral and writing skills to process information timely and accurately.
Demonstrated proficiency with Microsoft Office products including Excel, Word, PowerPoint, Visio, and Copilot.
The ability to create documents and maintain information in department-specific software packages.
Proficiency in keying and software program features based on required assessments.
Effective oral and written communication skills.
Effective analytical and problem-solving skills.
Ability to prioritize and handle multiple tasks and projects concurrently to meet strict deadlines.
Ability to adapt procedures, processes and techniques to resolve complex problems and issues.
