Job Title: Child Care Program Compliance Coordinator
Location: Matteson, IL (Serving Arcadia, Matteson, Richton Square, Algonquin, Indiana, Sauk, and Cook Loop)
Job Overview: We seek a flexible and motivated Child Care Program Compliance Coordinator to ensure operational excellence, regulatory compliance, and financial accountability across multiple after-school programs and one all-day program site. This role reports directly to the President and supports administrative tasks, subsidy management, payroll, student and staff recordkeeping, and communication with families and regulatory agencies, including DCFS. This is an ideal position for someone who thrives in a dynamic environment, has strong time management skills, and is willing to travel (50% travel required between two office locations for audits and compliance reporting).
Key Responsibilities:
- Licensing & Compliance: Maintain up-to-date DCFS licensing documentation, prepare for inspections, submit reports, and ensure all business licenses are current across all municipalities served.
- Student Enrollment & Communication: Process registrations, onboard parents, address escalated parent inquiries, and manage communications.
- Subsidy Program Administration: This position assists families with CCAP application processes, tracks eligibility and co-payments, and ensures accurate billing.
- Attendance & Records: Collect and maintain accurate sign-in/out and attendance records for licensing and audits.
- Financial Oversight: Work with the bookkeeper to manage invoicing, payments, payroll, and reconcile financial records.
- Food Program Management (CACFP): Submit meal counts and ensure proper meal tracking at all sites.
- Digital Systems Management: Maintain organized records and data in ProCare, Google Drive, and other systems.
- Program Management: Assist Site Managers with curriculum scheduling, supplies, and site operations; monitor safety procedures and staff ratios.
- Collaboration: Participate in weekly, bi-weekly, and monthly leadership meetings, coordinate with school districts, and respond to requests in a timely manner.
Qualifications:
- An associate's/bachelor's degree in early childhood education or child development or a related field is preferred.
- 2–3 years of experience in childcare administration or a director-level role; after-school program experience is a plus.
- Strong understanding of Illinois DCFS licensing, CCAP guidelines, and CACFP requirements.
- Proficient in ProCare, Paychex, Google Workspace, and QuickBooks (or similar).
- Excellent organizational, time management, and record-keeping skills.
- Must be able to travel locally between program sites (50% travel required for audits and compliance reporting).
