Job Overview
We are seeking a Client Accounts Coordinator to manage the financial aspects of our client accounts. This role is crucial for ensuring the accuracy and integrity of all client billing and payments. The ideal candidate will be highly organized, detail-oriented, and possess a strong understanding of accounts receivable and trust accounting principles.
Key Responsibilities
- Track and reconcile client payments and balances.
- Manage invoices, reminders, and payment plans.
- Provide weekly/monthly financial reports directly to leadership.
- Ensure compliance with trust accounting rules and regulations.
Required Qualifications
- Accounts Receivable & Billing Experience: Proven experience with invoicing, payment posting, and reconciliations.
- Trust Accounting Knowledge: Understanding of handling retainers and compliance with client fund rules.
- Financial Reporting: Ability to generate weekly/monthly summaries for leadership.
- Software Proficiency: Experience with case management or accounting software such as Filevine, QuickBooks, Excel, or similar.
- Attention to Detail & Accuracy: Essential for managing a large volume of client accounts.
- Confidentiality & Integrity: Must be able to handle sensitive financial and client data with the utmost discretion.
- Education & Experience: Bachelor's degree and at least 3 years of relevant experience.
- Certifications: A bookkeeping or QuickBooks certification is practical. Legal trust accounting training is a plus.
Preferred Qualifications
- Experience working in a law firm or immigration firm.
- Experience with collections or payment plan management.
- Skills in process improvement or automation to streamline billing workflows.
- Bilingual (English/Spanish) for client communications.
