Position Summary:
The Client Services Coordinator is a key member of the front office team, responsible for creating a welcoming and supportive environment for all clients and visitors. This role involves managing client interactions with professionalism and empathy, verifying and updating client records, processing referrals, and supporting scheduling and intake activities. The ideal candidate is passionate about delivering high-quality customer service and ensuring a smooth, positive experience for every individual who walks through our doors.
Essential Duties and Responsibilities:
- Greet and assist clients and visitors with warmth and professionalism
- Verify and update client demographic and insurance information in the electronic health record
- Handle incoming calls and direct them appropriately
- Process referrals and intake documentation accurately and efficiently
- Coordinate appointment scheduling to ensure optimal provider availability
- Maintain organized records and support daily office operations
- Collaborate with clinical and administrative teams to ensure seamless service delivery
- Support reporting and documentation for community stabilization and outpatient services
- Other job duties as needed
Cross Training Responsibilities (as needed)
- Provide support for front desk, kiosk, psychiatry, and outpatient therapy
- Assist with check-in/check-out, intake paperwork, and insurance verification
- Answer and direct calls, manage faxes, and maintain documentation
- Provide coverage during staff absences and breaks
- Support general office tasks such as filing, copying, and light housekeeping
Minimum Qualifications:
- Minimum of 2 years of experience in a customer service or office environment
- High School Diploma or GED required; Administrative Support or related training preferred
- Professional appearance and demeanor
- Strong interpersonal and communication skills
Knowledge, Skills, and Abilities (KSAs):
- Strong customer service and client engagement skills
- Ability to work efficiently in a high-volume, fast-paced environment
- Proficiency in Microsoft Office 365 and electronic health record systems
- Excellent written and verbal communication
- Strong organizational skills and attention to detail
- Ability to multitask, prioritize, and remain calm under pressure
- Familiarity with basic office equipment and filing procedures
