Job Description
The Clinical Compliance Manager provides detailed oversight of the clinical clearance process for our students within the Workforce Solutions Division. The ideal candidate will be a strategic thinker with a keen eye for detail, responsible for ensuring all students meet the necessary health, immunization, and compliance requirements for their clinical rotations. This role is critical to maintaining strong partnerships with our clinical sites and ensuring our institutional standards are upheld.
Systems and Vendor Management
- Serve as the primary point of contact for our vendor, Complio, ensuring the clearance system is fully integrated, efficient, and aligned with our operational needs.
- This includes troubleshooting issues, advocating for system improvements, and optimizing workflows.
Clinical Site Compliance
- Meticulously audit and maintain a comprehensive understanding of each clinical partnership site's clearance requirements for our students.
- Ensure all required tests, immunizations, and documentation are accurately tracked and collected.
Student Communication & Support
- Collaborate with site coordinators to facilitate the collection of required documents from students.
- Communicate with students to clarify clearance requirements, address questions, and ensure timely submission of documentation to avoid delays in their clinical rotations.
Auditing & Quality Control
- Conduct regular audits to ensure the accuracy and timeliness of all student clearance documentation.
- Proactively identify expired requirements and alert students and relevant parties to ensure continuous compliance.
Strategic Planning & Growth
- Develop and implement strategies for scaling the clinical clearance process as our institution grows.
- This includes creating a framework for future team members and defining clear roles and responsibilities to ensure a smooth and efficient operation.
Cross-Functional Collaboration
- Work closely with institutional leadership, program directors, and site coordinators to ensure all internal and external requirements are met and that communication is seamless.
Additional Duties
- Comply with all institutional policies and operational standards.
- Execute duties as assigned in alignment with divisional and college-wide goals.
- Other duties as assigned.
Qualifications
- Associate's or Bachelor's degree in a related field (e.g., Healthcare Administration, Public Health, Business Administration).
- Minimum of 5 years of professional experience in a related area, such as healthcare compliance, clinical operations, or medical records management.
- Proven experience in a role requiring meticulous attention to detail and a high level of accuracy.
- Strong experience managing compliance, auditing, or similar processes.
- Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with vendors, partners, and internal teams.
- Experience with database management or compliance tracking systems (e.g., Complio) is highly desirable.
- Ability to work independently, prioritize tasks, and manage multiple deadlines in a fast-paced environment.
- A clinical background or experience in medical billing and insurance coding is a significant advantage.
- Competence in basic Windows operation system commands, practices, and procedures.
- Knowledge of Microsoft Word, Excel, PowerPoint, Outlook, preferably, experience with contact databases, i.e., MSCRM preferred.
- Ability to type at least 55 WPM.
- Effective written and oral communication skills with individuals of diverse socio-economic and multi-cultural backgrounds.
- Must have the ability to adapt quickly, be an effective team player, and have excellent multi-tasking skills.
- Excellent attention to detail.
