JOB TITLE: Estimating Assistant
REPORTS TO: Estimating Manager
SUMMARY
Supports the estimating team by managing documentation, providing administrative support, maintaining cost accuracy, and ensuring organized record-keeping for all projects.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Maintain the Bid Tracker and provide timely updates to Estimating leadership.
- Pull technical specifications, references, and attachments from customer portals to support on-time and compliant bid preparation.
- Maintain and update departmental databases (e.g., historical costs, bid dashboards) to support financial analysis and pricing accuracy.
- Prepare prelimary estimates to streamline workload and improve proposal consistency.
- Assist in creating, reviewing, and organizing proposal packages and cost submissions for accuracy, competitiveness, and compliance.
- Support the integration of cost data, vendor pricing, and subcontractor quotes into estimating packages.
- Provide coordination support for proposal milestones, timelines, and deliverables across Estimating, Business Unit Leaders, and internal stakeholders.
- Facilitate communication between Estimating and other departments to ensure alignment on bid strategy and submission requirements.
- Maintain organized records of bid documentation and directly support estimators in preparing accurate, comprehensive proposals.
SUPERVISORY RESPONSIBILITY
No formal supervisory responsibilities.
KNOWLEDGE, SKILLS, AND ABILITIES
- Familiar with standard concepts, practices, and procedures within the industry
- Knowledge of production management, logistics, and supply chain concepts and methodologies
- Proficient with MicroSoft Office suite of products and associated software applications
- Excellent analytical and organizational skills
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
EDUCATION AND EXPERIENCE
- May require a bachelor's degree in a related field
- 1-2 years of experience in the field or in a related area helpful but not required
WORKING CONDITIONS
- Most work performed in an office environment under pressured, fast-paced conditions;frequently requires overtime
- May require some travel
- Minimal exposure to extreme temperatures, high noise levels, toxic or caustic chemicals, fumes, airborne particles, outdoor weather conditions, dusty conditions, wet and/or humid conditions, hazardous machinery, heights
