Position Responsibilities
- Event Execution: Coordinate end-to-end event planning from concept through execution and follow-up, including theme development, program flow and run-of-show documentation.
- Logistics & Vendor Coordination: Secure venues, vendors, and equipment while adhering to budget. Coordinate technical needs including AV, staging décor and presentations.
- Day-Of Execution: Coordinate team roles, lead rehearsals, and ensure smooth on-site execution including layout, wayfinding, seating charts.
- Sponsorship Fulfillment: Distribute event materials, sponsorship packages, and branded materials, and generate potential sponsor opportunities.
- Attendee Experience: Track registrations, coordinate seating and badge production and event photography.
- Learning Lab Coordination: Respond to inquiries and generate bookings, coordinate internal approvals, support site visits, promote and secure facility rentals
Qualifications & Experience
- Bachelor’s degree in event management, marketing, communications or hospitality or related field
- 3+ years of experience in event planning or project management in a business setting
- Demonstrated success in organizing professional events from conception to completion
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Suite, Mac-based operating system
Preferred Skills
- Knowledge of the West Michigan business landscape
- Proficiency with CRM systems, particularly Zoho
- Experience with Eventbrite or similar registration platforms
- Comfortable learning new technology and systems
- Experience with email marketing platform
Hours:
Full-time, 40 hours per week
In-person, Holland, MI
Occasional evening or early morning events may be required
