Assistant & Secretary to the CEO
About the Role
As Executive Assistant to the CEO of Biz Comm Networks, you will serve as a trusted strategic partner, ensuring the CEO’s time, focus, and priorities are maximized across a fast-growing communications and technology organization. This role goes beyond traditional administrative support—you will act as an extension of the CEO, providing executive-level coordination, communication, and operational support that enables the company’s continued growth and success.
Key Responsibilities
Executive & Administrative Support
- Manage a complex and dynamic calendar, ensuring alignment with business priorities.
- Anticipate scheduling needs, prepare agendas, and coordinate logistics for internal and external meetings.
- Handle travel arrangements, itineraries, and accommodations with a focus on efficiency and preference.
- Manage the CEO’s email inbox: prioritize, organize, draft, and respond to messages as appropriate.
- Maintain and update the CEO’s professional and personal contacts database, ensuring information is current and accessible.
- Answer, screen, and route phone calls on behalf of the CEO, acting as the first point of contact when necessary.
- Perform banking deposits and reconciliations in coordination with finance teams.
- Serve as the primary gatekeeper for the CEO, prioritizing incoming requests and ensuring timely follow-up.
Meeting & Communication Support
- Attend key internal and external meetings to take notes, track deliverables, and circulate follow-up action items.
- Draft and edit professional correspondence, presentations, reports, and board materials.
- Ensure consistent and timely communication across the executive leadership team.
- Liaise with board members, investors, partners, and clients with professionalism and discretion.
Strategic & Operational Support
- Assist in tracking company-wide objectives, KPIs, and initiatives.
- Conduct research and prepare executive briefs to support strategic decision-making.
- Coordinate projects across departments, ensuring deliverables are met and aligned with the CEO’s directives.
- Support AP (Accounts Payable) management and auditing processes.
- Support board relations, investor communications, and high-level client or partner engagements.
Confidential & Personal Support
- Handle highly sensitive and confidential information with discretion.
- Assist with personal scheduling and logistics to ensure a seamless balance between professional and personal obligations.
- Anticipate needs and proactively solve problems to remove obstacles for the CEO.
Qualifications
- 2+ years of executive-level support, preferably for C-suite leaders or senior executives.
- Exceptional organizational and project management skills with attention to detail.
- Strong written and verbal communication skills; ability to draft professional correspondence.
- High level of discretion, judgment, and professionalism.
- Proficiency with Microsoft 365, Google Workspace, and modern collaboration tools (Slack, Zoom, Asana, Google Meet).
- Apple Mac OSX / Apple ecosystem experience strongly preferred; if not, must be willing to learn and adapt quickly (this role is fully Apple-based).
- Must be able to occasionally work flexible hours and weekends to effectively support the CEO.
- Must be willing to occasionally travel if required.
