Position Summary:
In this role, the Executive Assistant provides exceptional service, sound judgment, and administrative leadership to ensure smooth day-to-day operations. The ideal candidate is poised, proactive, and comfortable working in a global, high-performing executive environment.
Key Responsibilities:
- Manage the CEO’s complex calendar, prioritizing appointments, meetings, and global time zones
- Coordinate extensive domestic and international travel arrangements including detailed itineraries, accommodations, and visa requirements
- Serve as a liaison between the CEO and key stakeholders, including board members, clients, and global executives
- Draft and prepare confidential communications, reports, presentations, and meeting materials
- Ensure the CEO is well-prepared for meetings with background documents, briefing notes, and agendas
- Screen and prioritize incoming communications, flag urgent matters, and track follow-ups
- Partner closely with other administrative personnel to coordinate logistics, share information, and align executive priorities
- Support board meeting logistics, senior leadership events, investor sessions, and offsite planning
- Track and reconcile expenses, process reimbursements, and maintain executive administrative records
- Maintain a high level of confidentiality and professionalism in all aspects of the role
- Provide occasional personal assistance as requested by the Chairman, CEO and other executive team members
Qualifications:
- Bachelor’s degree preferred or equivalent combination of education and experience
- 5+ years of experience supporting c-suite executives, ideally in a financial or professional services organization
- Familiarity with global operations, working across international time zones, and understanding accented English speech
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Concur, DocuSign, and SharePoint a plus
- A warm, professional, and empathetic demeanor
- Outstanding written and verbal communication skills
- Strong organizational and multitasking abilities with attention to detail and follow-through
- Proven ability to collaborate effectively with peers, adapt to changing needs, and support a team-oriented environment
- Discreet, trustworthy, and composed under pressure
- Willingness to be flexible with working hours and availability as needed
Job Type: Full-time
Pay: $100,000.00 - $120,000.00 per year
