A leading Japanese mega bank seeks an Executive Assistant for its Japanese Corporate Banking Department.
Provide comprehensive administrative support to senior executives, including scheduling meetings, preparing reports and correspondence, maintaining records and logs, and handling general office duties to ensure the department running smoothly.
Organize and coordinate projects and special events, and offer back‑up support to colleagues as needed. If you can juggle calendars, travel itineraries, and documents without breaking a sweat – and do it in two languages – you’ll fit right in.
Hybrid role in Midtown West: work primarily from the Manhattan office but enjoy 1–2 weekly remote work days.
Responsibilities
Plan and coordinate business functions such as meetings, conferences, receptions, and VIP visits, both on‑site and on work‑from‑home days.
Manage travel arrangements: secure approvals, book and adjust flights/hotels/transportation on short notice, and process expense reports.
Circulate documents for approval and maintain accurate records and logs.
Maintain positive relationships with internal and external stakeholders; deliver exemplary customer service and be a professional point of contact.
Prioritize and adjust workload to meet changing needs and deadlines; ensure tasks are completed accurately and on time.
Provide back‑up support to senior executive assistants and other team members; assist with departmental projects and perform other duties as assigned.
Requirements
Fluency in English and Japanese with strong verbal and written communication skills; able to draft clear emails, memos, and presentations.
Outstanding organizational and multitasking abilities; comfortable working in a high‑pressure environment with critical deadlines.
Customer‑oriented with excellent interpersonal skills; able to build relationships and respond to inquiries respectfully and helpfully.
Team player who works cooperatively with others and independently when needed; exercises diplomacy, tact, discretion, and maintains confidentiality.
Proficient with Microsoft PowerPoint, Excel, and Word; quick to learn new databases and internal systems.
Flexibility to work variable hours as the workflow requires.
Job Type: Full-time
Pay: $80,000.00 - $120,000.00 per year
