Position Summary
The CEO and Founder of SET Active is seeking a highly organized, proactive, and resourceful Executive Personal Assistant to support in both their personal and professional domains. This hybrid role is approximately 35% Executive Assistant, 35% Personal Assistant, and 35% House Manager.
The ideal candidate is someone who thrives in a dynamic, fast-paced environment, is energized by making someone else's life run more smoothly, and sees Executive Assistant work as a career path-not a steppingstone. You'll be at the heart of the CEO's orbit, anticipating needs before they arise and bringing a calm, solutions-oriented approach to everything you do.
This is a highly trusted, detail-heavy role that supports not just the CEO, but the overall rhythm of her home and work life.
Key Responsibilities
Executive Support
- Manage a dynamic, fast-changing calendar of meetings, appointments, and calls
- Schedule internal and external meetings, coordinate prep and follow-ups
- Track and manage tasks and to-dos on behalf of the CEO
- Anticipate needs and provide daily administrative support
- Coordinate with internal stakeholders and external partners professionally and efficiently
- Handle sensitive company and personal information with discretion
Personal Assistant Support
- Manage personal and family calendar (school schedules, extracurriculars, appointments, hobbies)
- Schedule medical and personal care appointments
- Facilitate all online ordering, package opening, and returns
- Run local errands and coordinate one-off needs
- Support two family dogs (transport to/from office, occasional walks, grooming coordination)
- Coordinate with a travel agent for domestic and international travel
- Assist with occasional event planning (birthday parties, dinners, holidays)
- Provide rare backup childcare if nanny is out
Household Management
- Schedule and oversee household vendors (nannies, housekeeper, gardener, pool service, etc.)
- Ensure the home is organized, clean, and fully stocked
- Track household inventory and grocery needs
Oversee car maintenance (cleaning, fueling, service scheduling)
- Pay vendors and manage household check-writing or expense tracking
- Coordinate repairs, appointments, or upgrades as needed
- Send daily EOD recaps with updates, next steps, and priorities
Qualifications
- 2-3+ years of experience in an Executive Assistant, Personal Assistant, or Household Manager role
- Strong organizational skills and a true love for helping others stay on track
- Comfortable supporting both personal and professional life for a founder/CEO
- Clear communicator, quick thinker, and proactive problem solver
- Professional, composed, and adaptable - even when juggling a lot
- Warm and approachable, especially around children, pets, and family members
- Able to be direct when coordinating with vendors or managing up
- Tech-savvy (Google Suite, basic project/task tools, calendar systems)
- Valid California driver's license and car required
