Position Overview:
We are seeking a detail-oriented and proactive Facilities Maintenance Clerk to support our repair and maintenance (R&M) process. This hourly position will serve as the key liaison between our field operators and external R&M vendors to ensure all work orders (WO) are accurately tracked, completed on schedule, and billed fairly. The ideal candidate is organized, communicative, and skilled in evaluating job pricing for consistency and market fairness.
Key Responsibilities:
- Act as the primary point of contact for R&M vendor communications and field operator follow-ups.
- Monitor and track all open work orders to ensure they are assigned promptly and completed according to schedule.
- Conduct follow-up communications with vendors and operators to verify completion, photo documentation, and service satisfaction.
- Review vendor pricing for each job against historical data and current market rates to ensure fair and consistent billing.
- Flag duplicate or inaccurately scoped work orders and escalate concerns to management as needed.
- Maintain accurate records of vendor performance, pricing trends, and WO completion timelines.
- Support internal reporting and provide summaries on vendor efficiency, turnaround times, and cost trends.
- Collaborate with the accounting or AP department to support invoice validation and prevent overbilling.
Qualifications:
- High school diploma or equivalent required.
- Prior experience in R&M coordination, vendor management, or facilities support preferred, but not required.
- Strong communication and follow-up skills, both verbal and written.
- Basic understanding of HVAC, refrigeration, plumbing, and general facility maintenance terminology is a plus, but not required.
- Detail-oriented with strong organizational skills and a sense of urgency.
Compensation:
- Hourly Compensation: $13/hour
