The Grant Specialist is responsible for assisting the Research Administrator with daily administrative tasks. These include but are not limited to, reviewing grant applications prior to institutional approval, following up on status of outstanding invoices, transfers and reimbursements, facilitating grant closeouts, and other miscellaneous administrative tasks. Responsible for providing vacation, leave or vacancy coverage within Research Administration.

Job Description:

Primary Responsibilities:

  • Accesses information from internal systems, including grant management software, Workday, and other systems; must have an aptitude for numbers, including budget management and will research federal policies related to grant management. (essential)

  • Works with Financial Analysts and Research Administrators to reconcile information/reports, process cost transfers and assist with grant closeout; when necessary, assists Research Administration team leadership in reviewing and managing account deficits. (essential)

  • Assists with reviewing time and effort reporting for key personnel; reports any unusual or non-compliant information to Research Administration team leadership. (essential)

  • Assists with various expense items, such as making deposits with Research Finance Office, transferring funds, and assignment of expenses within areas of responsibility; works with ancillary areas such as A/P, HR, and Purchasing to ensure receipt of materials and prompt payment or resolution of any issues.   • Supports overall grant proposal submission process, including grant intake, budget entry, and grant compliance for their area of responsibility; advises investigators of grant submission policies and due dates. (essential)

  • Works with the Harvard International Office and HR to assist with onboarding of new hires as needed.

  • Participates in routine research administration meetings, seminars and programs to stay abreast of best practice and guiding regulations; provides support to Research Administration team leadership on special projects as necessary. (essential)

Required Qualifications:

Associate's degree required or other post high school education.

0–1-year related work experience required.

Experience with computer systems required, including web- based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.

Preferred Qualifications:

Bachelor's degree preferred.

0-1 year experience in grant management, budget preparation and financial management. Knowledge of federal grant related polices a plus.

Written Communications: Ability to communicate clearly and effectively in written English with internal and external customers.

Oral Communications: Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers.

Knowledge: Ability to demonstrate full working knowledge of standard concepts, practices, procedures and policies with the ability to use them in varied situations.

Team Work: Ability to work collaboratively in small teams to improve the operations of immediate work group by offering ideas, identifying issues, and respecting team members.

Customer Service: Ability to demonstrate a positive attitude and respond to requests in a timely and respectful manner.


Physical Nature of the Job:

Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally.
