Job Purpose:
The Marketing Coordinator plays a key role in supporting the company’s sales and growth objectives by executing a variety of marketing initiatives and managing day-to-day communications across digital channels. This position is responsible for maintaining and enhancing ULTRAMAIN’s market presence through social media, website content, and lead management. It also supports the sales lifecycle by coordinating responses to customer inquiries and managing the logistics of marketing events and trade shows. The Marketing Coordinator ensures consistent brand messaging, assists with marketing-related deadlines including RFIs, RFPs, and RFQs, and acts as a liaison between Marketing and Sales to drive engagement and visibility for Ultramain Systems.
Responsibilities:
Marketing and Communications Support
· Manage and grow Ultramain’s social media presence.
· Maintain and update website content.
· Research new customer opportunities and initiate verbal or electronic correspondence with prospective customers.
· Organize, update, maintain customer database.
· Coordinate the planning and execution of marketing campaigns, press releases, event announcements, and public relations activities—ensuring content is finalized by the appropriate team members and delivered accurately, consistently, and on schedule.
· Coordinate advertising and editorial placements to align with brand standards and messaging.
· Maintain and update digital marketing channels, including the corporate website and social media platforms, ensuring timely content publication and consistency across all messaging.
· Coordinate email marketing activities, including maintaining lead distribution lists, preparing scheduled communications, and ensuring timely delivery of marketing messages to targeted audiences.
· Facilitate marketing functions (i.e. brochure mailings, setup and coordinate employee registration and lodging to and from marketing related conventions and conferences).
· When directed, serve as liaison in communicating with media and other press. Write press releases, ensure news and events are accurately published. Foster and develop a positive impression of Ultramain in the marketplace.
· Work with team to effectively initiate, develop and execute sales and marketing collateral. Coordinate production of all printed marketing literature and promotional materials. Ensure accuracy, consistency, expense control, timeliness and clear communication is served amongst all parties.
· Assist sales department in all programs and incentives. Ensure programs are accurate, well planned, follow budget and are executed in a timely manner.
· Oversee authorized media buying and marketing purchase activities. Meet with Vice President of Product Management to report on marketing functions.
· Helps ensure Ultramain communications and promotional literature accurately and beneficially communicate the capabilities of Ultramain.
Proposal & Sales Support
· Coordinate and track proposal efforts (RFI, RFP, RFQ, ROM), including scheduling, internal task assignments, and on-time submission.
· Maintain and update proposal boilerplate content and resource materials with input from subject matter experts.
· Serve as the first point of contact for inbound customer inquiries, directing them to appropriate team members as needed.
· Support international sales staff across time zones as necessary.
Event Coordination
· Coordinate USI’s participation in domestic and international aviation events, including making travel arrangements and organizing logistics for team members.
· Ensure materials, booth assets, and messaging are prepared and delivered according to event timelines.
· Represent the marketing team onsite when required to support sales staff and maintain a consistent brand presence.
Preferred Skills:
· Good interpersonal and communication skills.
· Creative mindset and strong writing/design skills.
· Experience with Microsoft Office products, website tools, Word Press, Meta Business Suite and email delivery tools.
· Computer software proficiency; knowledge, skills, and experience with Adobe Creative Suite / Adobe Creative Cloud products (InDesign, Photoshop, and Illustrator) and the ability to go back and forth and merge content between Adobe and Microsoft software programs.
· Customer Relationship Management (CRM) platform experience.
· Strong writing and editing skills for web, social media, and print materials.
· Ability to manage multiple projects and deadlines.
Requirements:
Bachelor’s degree or equivalent in marketing, business, communications or a related field (preferred) or 2 years of comparable experience.

Pay: $48,000.00 - $60,000.00 per year
