The Role:
As our new Administrative Assistant, you’ll play a key role in our daily operations, ensuring everything runs smoothly, from managing patient communications to overseeing financials and pre-operative coordination or care and clearance. You’ll be part of a team that values ownership and dedication, where your work will directly impact the success of the practice.
Key Responsibilities:
- Handle phone, text and email communications, patient inquiries, and follow-up tasks through our EMR system.
- Manage phone calls, faxes, and emails, ensuring patient information is processed and assigned correctly.
- Coordinate patient financials, including collecting payments and ensuring all necessary documentation is signed and uploaded.
- Ensure all pre-operative procedures are followed accurately, including patient clearance, BMI tracking, and nicotine testing.
- Prepare and maintain surgery charts and ensure implants are ordered and stocked correctly.
- Provide excellent customer service and maintain strong communication with patients, staff, and physicians.
- Follow up on tasks, check for missing information, and ensure everything is completed before the next patient interaction.
What We’re Looking For:
- Previous experience working in a medical office with familiarity of HIPAA compliance.
- Ability to quickly learn and work with EMR (PatientNow) or similar medical office software.
- Strong organizational skills with a keen eye for detail and accuracy.
- The ability to manage multiple tasks efficiently while maintaining a calm and positive attitude.
- Excellent customer service skills, with a professional and friendly demeanor.
- A strong sense of responsibility and the ability to work independently.

Pay: $46,000.00 - $54,000.00 per year
