Job Title: Operations Coordinator II
Reports to: Director of Operations
Status: Full-Time, Non-Exempt
Hours: 40 hours per week
Hourly Rate: $15-$17 Depending on Experience
Position Summary:
The Operations Coordinator II plays a vital role in ensuring smooth day-to-day operations at the Don Harrington Discovery Center. This position oversees key visitor services functions such as the Gift Store and Café, manages memberships and volunteers, and supports special programs and financial tasks. The Coordinator also serves as a frontline leader, helping provide a seamless, high-quality experience for all DHDC guests.
Key Responsibilities:
- Retail & Guest Services:
- Oversee daily operations of the Gift Store and Café, including inventory, merchandising, stickering, expiration date monitoring, and reporting purchasing needs to the Director of Operations.
- Ensure excellent customer service standards and troubleshoot guest concerns promptly.
- Memberships & Volunteers:
- Oversee DHDC membership program, including sales, renewals, and member communication.
- Recruit, schedule, and support volunteers for regular operations and special events.
- Event Coordination:
- Book and confirm birthday parties, including but not limited to coordinating schedules, party hosts, supplies, cake ordering/pick-up and setup.
- Assist in the setup and support of special events and programs, including Wildcat Bluff shifts and after-hours events.
- Assist with school reservations and communications.
- Operations & Administrative Support:
- Reserving facility rentals, creating the floor plan with clients, communicating the setup with staff.
- Serve as Manager on Duty (MOD) as needed, overseeing general facility operations and staff coordination.
- File and organize vendor and operational invoices.
- Process and complete change orders as needed.
- Assist the Front Desk team as needed.
- Maintain accurate records and reports related to reservations, and attendance.
- Assist in evaluating and improving visitor experience processes.
- Support marketing and outreach efforts for upcoming programs and events.
- Conduct inventory checks and supply ordering for birthday and front desk needs.
- Support the Front Desk (FD) team as needed, including assisting with admissions and visitor inquiries.
- Respond to donor inquiries and process donation intakes.
Qualifications:
- High school diploma or equivalent; some college preferred in business, hospitality, or a related field.
- 1+ years of experience in customer service, retail, or operations coordination.
- Experience working with volunteers and/or event coordination is a plus.
- Strong communication, organizational, and multitasking skills.
Proficient in Microsoft Office Suite; familiarity with POS systems and membership databases is helpful. - Willingness to work flexible hours, including weekends, holidays, and evenings as needed.
Physical Requirements:
- Must be able to stand and walk for long periods and lift up to 50 pounds.
Ability to work in an active, family-oriented environment with frequent guest interaction.
