Job Title: Permit Administrator – HVAC Company
Overview
Pro Energy Solutions, a leading HVAC company, is seeking a detail-oriented and motivated Permit Administrator to join our growing team. This role is essential to ensuring that all permits for HVAC installations and service projects are completed accurately, submitted on time, and tracked through to approval. The ideal candidate will be highly organized, quick to learn new processes, and eager to grow within the company.

Responsibilities
- Accurately complete and file permit applications for HVAC installations and service work in multiple municipalities.
- Submit permits via online portals, email, or in person, and coordinate with couriers when required.
- Track permit progress using tools such as Monday.com and keep all records up to date.
- Communicate with municipal offices to confirm requirements, resolve issues, and follow up on outstanding permits.
- Update customers and internal teams on permit statuses, required inspections, and expected timelines.
- Ensure all paperwork is neat, complete, and meets municipal requirements.
- Maintain organized digital and physical files for permits and related documentation.
- Take on additional administrative or project responsibilities as needed to support the team.
Qualifications
- High school diploma or equivalent (some college or administrative experience preferred).
- Computer literate and able to quickly learn new software systems.
- Neat and legible handwriting for completing physical permit applications.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- A positive, team-oriented attitude with a willingness to take on new challenges.

Schedule: Monday–Friday (occasional flexibility as needed)
Compensation: Based on experience + potential for growth
