Job Summary:
We are seeking an organized and proactive Project Manager with at least 2 years of experience managing day-to-day project activities. In this role, you will support the Business Systems Department at BioFire by coordinating and driving multiple software implementation projects to successful completion. You will work closely with cross-departmental subject matter experts to define project scopes, manage timelines and budgets, mitigate risks, and ensure clear communication among stakeholders. The ideal candidate will bring strong skills in task management, meeting facilitation, status reporting, issue tracking, and process improvement. Excellent communication, problem-solving, and relationship-building skills are essential for success in this collaborative and fast-paced environment.
Key Responsibilities
- Develop, maintain, and monitor detailed project plans, schedules, and work breakdown structures.
- Coordinate and facilitate regular project meetings, including preparing agendas, documenting meeting minutes, and tracking action items.
- Assign tasks and follow up with team members to ensure deadlines and deliverables are met.
- Track project progress against scope, schedule, and budget, and proactively identify and escalate risks or issues.
- Serve as the primary point of contact for project status updates to stakeholders and leadership.
- Maintain accurate project documentation, including status reports, risk registers, change requests, and decision logs.
- Collaborate with cross-functional teams and subject matter experts to gather requirements and manage dependencies.
- Support change management activities, ensuring that process changes are communicated and documented effectively.
- Assist in resource planning and allocation to ensure project goals are achievable.
- Identify opportunities for process improvement and contribute to refining project management best practices within the team.
Required Qualifications
- Bachelor's degree in business, Information Systems, Project Management, or a related field (or equivalent work experience)
- 2+ years of experience managing projects, preferably in software implementation or cross-functional environments
- Proven experience coordinating meetings, tracking tasks, and managing project schedules and budgets
- Familiarity with project management tools (e.g., MS Project, Smartsheet, Asana, Jira, or similar)
- Strong written and verbal communication skills
- Ability to work effectively with diverse teams and stakeholders
- Experience maintaining project documentation and status reporting
