Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support, ensuring the smooth operation of our office. The ideal candidate will possess strong communication skills, be proficient in various office software, and have a friendly demeanor that welcomes clients and visitors.
Duties
- Greet and assist visitors at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls to the appropriate personnel while maintaining professional phone etiquette.
- Perform clerical tasks such as data entry, filing, and proofreading documents to ensure accuracy.
- Utilize QuickBooks for basic bookkeeping tasks and financial record management.
- Maintain office organization through effective calendar management and scheduling of appointments.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Assist with administrative duties including correspondence, document preparation, and office management tasks.
- Support team members with various projects as needed, demonstrating strong time management skills.
Experience
- Previous experience in an office environment is preferred, with a focus on administrative roles.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and collaboration.
- Experience with QuickBooks or similar accounting software is a plus.
- Bilingual candidates are encouraged to apply to enhance communication with diverse clientele.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Experience as a dental receptionist or medical receptionist is advantageous but not required.
