Job Summary
We are growing! As a full-service Immigration, Criminal Defense, and Personal Injury Law Firm based in Baton Rouge, LA, we are looking for a dynamic Receptionist/Administrative Assistant to help support our growth. We are seeking a bilingual (English/Spanish) candidate who can manage the front desk, greet clients, handle phone calls, and perform various administrative tasks to ensure the efficient operation of the office. The ideal candidate will have excellent communication skills, a positive attitude, and strong attention to organization and detail.
Responsibilities include, but are not limited to:
- Greet and welcome clients and visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls and emails.
- Handle client inquiries and provide information about our services.
- Assist clients with completing necessary forms and paperwork.
- Perform basic administrative duties such as filing, photocopying, and data entry.
- Handle confidential information with discretion and professionalism.
- Preparing meeting rooms and providing refreshments to clients/visitors
- Schedule and confirm appointments to minimize no shows and assist with rescheduling if needed to maintain an accurate calendar for our team.
- Receive, sort and distribute mail, faxes and deliveries to indented team members.
- Processing client payments with detail and accurately adding information into the case management platform as well as updating the accounting team.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.

Records Clerk
- Obtain and follow up with records request
- medical records
- police reports / incident reports
- court documents (dispositions, indictments, bills of information, minutes)
- Lets define what a certified disposition is, an indictment, bill of information, minutes
- FOIA (Freedom of Information Act Requests)
- maintaining a spreadsheet of records request and status of the requests for LA/RA to monitor
Salary: DOE
Hours: Monday - Thursday 8:00am - 5:30pm; Friday 8:00am - 5:00pm
