At 1 Brilliant Gift, we’re a leader in the gift and souvenir industry, bringing vibrant designs and top-quality products to customers across the country. We’re looking for a Sales Administrator who will be the glue that keeps our sales, production, and customer service processes flowing seamlessly.
Position Overview
This position will report directly to the Sales Operations Manager.
The Sales Operations Administrator plays a vital role in supporting the sales process from order entry to delivery. This position ensures smooth communication between customers, sales representatives, and internal departments while maintaining accurate records and helping drive exceptional customer experiences.
Responsibilities
- Process and accurately enter customer purchase orders in a timely manner.
- Communicate with customers regarding art requests, order status, product availability, lead times, and shipping details.
- Monitor and track orders to ensure on-time delivery.
- Coordinate with production, art, and shipping teams to ensure deadlines are met.
- Support sales representatives with art requests, product details, and order follow-up.
- Maintain accurate customer records and order history in Quickbooks.
- Resolve customer issues, returns, or changes to orders.
- Prepare and send invoices, packing slips, and related documentation.
- Maintain and update product listings on point-of-sale platforms (e.g., MarketTime, Faire, EMUN, etc).
- Manage social media accounts and customer marketing email campaigns.
- Process and track sample requests for customers and sales reps.
- Provide support for trade shows and sales events.
- Check credit references for new and existing customers.
- Follow up on open orders awaiting artwork approval, payment, or customer action.
- Assist with marketing initiatives, including providing customer lists and promotional materials.
- Communicate customer feedback or quality concerns to production for resolution.
What We’re Looking For
- Previous experience in sales support, admin, or customer service (bonus points for manufacturing, gift, and/or souvenir industry experience).
- Tech-savvy with CRM/ERP systems and Microsoft Office Suite.
- Excellent communication skills – you can keep customers and teammates in the loop with ease.
- Highly organized and able to juggle multiple priorities without breaking a sweat.
- Familiarity with social media and marketing tools is a plus.

Pay: $22.00 - $27.00 per hour
