The Medical Support Assistant (MSA) provides administrative and clerical support to ensure Veterans receive timely, coordinated, and high-quality care at the Sheridan VA Medical Center and through community care programs. The MSA plays a critical role in scheduling, patient communication, medical records processing, and coordination between VA providers, community providers, and Veterans. The MSA is expected to represent the VA with professionalism, accuracy, and a patient-centered approach.

Key Responsibilities

· Work with the Lead Scheduler and scheduling/reception team to ensure all schedulers and receptionists perform duties competently and represent the VA positively.

· Support the Lead Scheduler to ensure all patient communications are completed on time and appropriately.

· Coordinate and authorize Veteran care with community providers when VA services are unavailable or cannot be provided in a timely manner.

· Communicate with internal medical providers regarding VA Community Care rules and processes, ensuring compliance.

· Notify contracting supervisor when automated systems are not functioning properly.

· Validate and update patient demographic information in VA systems.

· Process incoming health and administrative records to ensure they are properly integrated into Computerized Patient Record System (CPRS) and Veterans Health Information Systems and Technology Architecture (VISTA).

· Process community care consults using HealthShare Referral Manager (HSRM), Provider Profile Management System (PPMS), and other required systems.

· Answer and screen phone calls courteously and in a timely manner; respond to inquiries regarding delivery of services.

· Perform appointment scheduling, tracking, and pre-/post-appointment communications as required.

· Use Microsoft Office Suite (Excel, Word, Outlook, Teams) daily for communication and documentation.

· Provide quality customer service to patients, patient families, VA staff, physicians, fellows, residents, and contractors.

· Perform other administrative duties as assigned.

Employment Terms

· Travel may be required for fingerprinting, PIV card pick-up, and IT equipment collection at the nearest VA facility.

Qualifications

· Contractor personnel must be a resident of the United States of America.

· High School Diploma or GED equivalent required.

· Oral and written proficiency in English.

· Basic computer skills and proficiency with Microsoft Office.

· Ability to type at least 50 words per minute.

· Must have no health or physical disability restrictions that interfere with assigned duties.

· Basic knowledge of medical terminology.

· Minimum 6 months of customer service experience.

Job Types: Full-time, Contract

Pay: $23.32 - $25.09 per hour

Expected hours: 40 per week
