This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a HR Operations Specialist based in Brazil.
The HR Operations Specialist will take ownership of day-to-day HR administration and help build reliable people processes for a growing U.S.-based, multi-location workforce. This hands-on role combines HRIS management, employee administration, payroll and benefits coordination, time tracking, and multi-state policy administration. You will play a central role in implementing and optimizing Rippling while ensuring employee data, workflows, and documentation remain accurate and up to date. The position requires close collaboration with employees, managers, and internal stakeholders across different locations. You will also help streamline processes, resolve administrative issues, and provide timely support on HR and payroll-related questions. This is a fully remote opportunity suited to an experienced HR operations professional who is highly organized and comfortable working independently. Strong English communication, attention to detail, integrity, and follow-through are essential.
Accountabilities
- Lead the setup, configuration, and ongoing administration of Rippling, including entities, locations, employee data, job codes, and onboarding workflows.
- Support the configuration and maintenance of payroll, benefits, employer and tax information, and related HR processes.
- Maintain accurate employee records, including compensation, job levels, employment information, and other personnel data.
- Manage onboarding and offboarding processes for full-time and part-time U.S. employees.
- Prepare offer letters, employment agreements, employee documentation, and other HR administrative materials.
- Respond to employee and manager questions related to HR administration, payroll, benefits, and HR systems.
- Configure and maintain multi-state HR policies covering areas such as PTO, sick leave, overtime, and breaks.
- Manage policy configurations and employee acknowledgments within the HRIS.
- Implement and maintain clock-in/clock-out and time-tracking processes, including timecard approval workflows.
- Follow up on missing or incomplete timecards and support the integration of time tracking with payroll.
- Train employees and managers on HR systems, time tracking, and relevant administrative procedures.
- Assist with payroll-related questions, administrative issues, vendor coordination, and bill transfers.
- Identify opportunities to improve HR workflows, system efficiency, and day-to-day operational processes.
- Work independently to follow up on outstanding tasks and ensure HR operations are completed accurately and on time.
- 5+ years of experience in HR Operations supporting U.S. employees.
- Strong hands-on experience implementing and administering Rippling, beyond simply using the platform as an employee.
- Proven experience configuring entities, locations, employee records, payroll, benefits, job codes, and onboarding workflows within Rippling.
- Experience supporting both full-time and part-time U.S. employees across HR administration processes.
- Practical experience preparing offer letters and employment agreements and maintaining accurate employee records.
- Experience administering multi-state U.S. HR policies, including PTO, sick leave, overtime, and break requirements.
- Experience implementing and managing time tracking, timecard approvals, and payroll-related workflows in Rippling.
- Ability to train employees and managers on HR systems, processes, and administrative procedures.
- Fluent written and spoken English.
- Excellent attention to detail, organization, prioritization, and follow-through.
- High level of integrity, professionalism, discretion, and sound judgment when handling employee information.
- Ability to work independently while collaborating effectively with distributed teams and location managers.
- Experience supporting multi-location U.S. businesses is preferred.
- Experience with vendor administration, operational support, and HR process improvement is advantageous.
- Competitive compensation of $2,000–$3,000 USD per month.
- Fully remote working arrangement from Brazil.
