ROLE OVERVIEW

The Manager, Benefits, Perks & Leaves is a senior individual contributor responsible for managing, supporting, and continuously improving Tracxtion’s benefits, employee perks, leaves, and workplace accommodation programs for 800+ employees across the Tracxtion collective of agencies.

Reporting to the Senior Manager, People & Culture, this role serves as the subject matter expert and primary program lead, partnering with People & Culture, Payroll, Finance, Legal, business leaders, brokers, insurers, and external vendors to deliver consistent, compliant, and employee-focused programs.

The role will manage day-to-day program administration and governance, support employees and leaders through key processes and complex cases, and identify opportunities to improve programs, systems, and the overall employee experience.

CORE RESPONSIBILITIES

Manage

  • Manage benefits programs across Canada and the United States, including enrolments, eligibility changes, life events, terminations, reconciliations, audits, and annual renewals.
  • Manage parental, medical, disability, personal, statutory, and other leave processes, including documentation, timelines, benefit continuation, payroll impacts, and return-to-work planning.
  • Manage workplace accommodation processes in partnership with employees, leaders, People & Culture, and appropriate advisors.
  • Manage employee perk and wellbeing programs, including enrolments, communications, participation, utilization, and program costs.
  • Manage relationships with brokers, insurers, benefits providers, wellbeing partners, and other external vendors.
  • Maintain accurate policies, procedures, employee resources, case records, approvals, and audit documentation.
  • Monitor program compliance with applicable Canadian and U.S. requirements and escalate legal or high-risk matters as appropriate.

Support

  • Serve as a key point of contact and subject matter expert for benefits, leaves, accommodations, perks, and wellbeing programs.
  • Support employees and managers with clear, practical guidance throughout benefits, leave, accommodation, and return-to-work processes.
  • Partner closely with People & Culture, Payroll, Finance, Legal, IT, and business leaders to ensure accurate and timely program delivery.
  • Resolve escalated coverage, eligibility, vendor, payroll, and employee service issues.
  • Support annual budgeting, forecasting, benefits of renewals, vendor evaluations, and program planning.
  • Support integrating and harmonizing programs across Tracxtion’s growing North American group of companies.

Improve

  • Identify opportunities to simplify and standardize benefits, leave, accommodation, perk, and wellbeing processes across the organization.
  • Develop reporting and dashboards to track program costs, participation, utilization, leave activity, service levels, and employee trends.
  • Use employee feedback, market practices, and program data to recommend enhancements.
  • Improve vendor performance, employee communications, documentation, controls, and service delivery.
  • Leverage HR technology, automation, and AI-enabled tools to improve efficiency and accuracy while protecting employee confidentiality.
  • Help create a consistent, supportive employee experience while recognizing legitimate differences between Canadian and U.S. requirements.

EXPERIENCE & SKILLS

  • 5+ years of progressive HR experience, including at least 3 years of direct experience with benefits, leaves, accommodations, or related programs.
  • Experience supporting employees and programs across both Canada and the United States.
  • Experience working within a large, multi-entity, or geographically dispersed organization.
  • Strong knowledge of benefits administration, leave management, disability processes, and workplace accommodations.
  • Experience managing benefits renewals and working with brokers, insurers, and third-party vendors.
  • Working knowledge of Canadian and U.S. employment, leave, benefits, privacy, and accommodation requirements.
  • Strong analytical, organizational, project-management, and problem-solving skills.
  • Strong judgment when handling confidential and sensitive employee matters.
  • Ability to communicate complex programs and processes clearly and practically.
  • Experience with HRIS, payroll, benefits administration, and reporting platforms.
  • Ability to manage competing priorities and time-sensitive employee matters.
  • A Canadian or U.S. HR, benefits, or leave-management designation is an asset.
