High Level Role Overview

We’re looking for an experienced Executive Assistant to join our team. This is a trusted-partner role for a seasoned professional who thrives in a fast-paced environment where priorities shift quickly and the stakes are high. You’ll anticipate needs, protect executive time, and keep the business moving.

You’ll act as a strategic extension of your executives and a key liaison between senior leaders and internal and external stakeholders, using sound judgment and absolute discretion in everything you do.

What you’ll do:

  • Strategic calendar management: Own and actively manage complex, multi-time-zone calendars. Prioritize competing demands, resolve conflicts independently, and make informed recommendations that protect executive time and focus.
  • Meeting and event leadership: Lead end-to-end planning and execution of executive meetings, leadership offsites, board-related activities, and events, including agendas, pre-reads, presentation materials, and follow-up on action items.
  • Project oversight: Manage special projects and new initiatives from start to finish, driving timelines, coordinating stakeholders, and ensuring accountability. Prepare polished reports, proposals, and presentations for senior audiences.
  • Trusted liaison: Serve as the primary point of contact for internal and external stakeholders on confidential and business-critical matters, representing your executives with professionalism, diplomacy, and discretion.
  • Anticipate and act: Proactively identify needs, risks, and opportunities before they surface. Make sound decisions on your executives’ behalf and escalate appropriately.
  • Travel and expense administration: Coordinate complex domestic and international travel, complete monthly expense reports, and reconcile corporate Visa statements accurately and in line with policy.
  • Correspondence and information management: Manage and prioritize executive inboxes and correspondence, maintain contact lists, and handle sensitive information with the highest level of confidentiality.
  • Executive team and EA community support: Take on ad-hoc tasks tied to business needs and executive team priorities. Champion the EA team by sharing best practices, supporting peers during peak periods, and improving how we work.

What you’ll bring:

  • Experience: 5+ years as an Executive Assistant (or equivalent) supporting C-suite or other senior executives in a high-activity, demanding environment.
  • Judgment and discretion: A proven track record of handling confidential information with integrity and making sound decisions with minimal direction.
  • Proactive ownership: You anticipate needs, take initiative, and deliver without waiting to be asked, even when priorities change at the last minute.
  • Organization and attention to detail: Precision in every deliverable, from meeting invites to executive-level reports, while juggling competing deadlines.
  • Communication: Outstanding written and verbal skills, with the presence and polish to engage confidently with executives, board members, and external partners.
  • Collaboration: A strong partner to fellow EAs and an approachable, supportive colleague across the business, especially during peak periods.
  • Adaptability and growth mindset: Composure under pressure, openness to feedback, and a commitment to continuous learning.
  • Technical proficiency: Advanced skills in Google Workspace (Calendar, Gmail, Drive, Docs, Slides, Sheets) and Slack. Mac and Microsoft Suite experience are assets.
  • Business acumen: The ability to quickly learn how a company works, who the key stakeholders are, and build credibility across teams. Familiarity with a purpose-driven or technology environment is an asset.
