This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a General Virtual Assistant – Operations, Bookkeeping & Events based in Canada.
We are seeking a highly organized, dependable, and proactive Virtual Assistant to support the day-to-day operations of a leadership development business. This multifaceted role combines bookkeeping, financial administration, event coordination, general operational support, and basic marketing activities. You will take ownership of recurring tasks, maintain accurate financial records, coordinate monthly off-site leadership events, and ensure essential business activities continue running smoothly. Working remotely within a collaborative, entrepreneurial environment, you will help reduce administrative demands and enable leadership to focus on strategic priorities. The ideal candidate is comfortable working independently, anticipating needs, and managing multiple responsibilities with minimal supervision. Accountabilities
- Bookkeeping & Financial Administration: Manage routine bookkeeping and financial administration, including bills, invoices, receipts, and financial documentation. Track cash flow, maintain accurate records, prepare monthly budgets for leadership events, coordinate vendor payments, and follow up on outstanding client invoices and collections.
- Event Coordination & Logistics: Coordinate recurring logistical requirements for monthly off-site leadership events, including venue preparation, facility arrangements, schedules, vendor communication, and on-site needs. Ensure all event details are organized and completed on time.
- Business Operations & Administrative Support: Manage day-to-day administrative tasks, monitor deadlines and recurring responsibilities, maintain organized records, and proactively follow up on outstanding items. Ensure business operations continue smoothly during extended periods when the founder is unavailable.
- Marketing & Social Media Support: Assist with routine marketing activities, support social media management, organize content and posting schedules, and handle basic digital marketing tasks as needed.
- Process Ownership & Continuous Reliability: Establish effective systems for tracking financial activities, event requirements, and operational tasks. Take responsibility for assignments from start to finish, resolve routine issues independently, and minimize the need for ongoing supervision.
- Relevant Experience: Previous experience in virtual assistance, administration, operations, bookkeeping, executive support, or a similar role.
- Financial & Technical
Skills
Comfortable managing financial records, invoices, receipts, accounts payable and receivable, and cash-flow tracking. Experience with bookkeeping or accounting software, spreadsheets, cloud-based business tools, and document management is strongly advantageous. - Organization & Attention to Detail: Excellent organizational skills and accuracy when handling financial documentation, payments, event arrangements, and multiple ongoing responsibilities.
- Communication & Coordination: Strong written and verbal English communication skills, with the ability to coordinate professionally with clients, vendors, stakeholders, and service providers.
- Independence & Accountability: Demonstrated ability to manage recurring tasks and deadlines with limited supervision, take ownership of responsibilities, anticipate needs, and follow through without repeated reminders.
- Problem-Solving & Resourcefulness: A practical, proactive approach to resolving routine issues, identifying gaps, and keeping business activities moving forward.
- Preferred Experience: Experience supporting a founder, entrepreneur, or small business owner; coordinating events, retreats, workshops, or off-site programs; or working in leadership development, coaching, consulting, or experiential learning.
- Additional Advantage: Familiarity with social media platforms, content scheduling, and basic marketing tools.
- Work Style: Highly dependable, consistent, detail-oriented, and comfortable maintaining operational continuity when leadership is unavailable.
- Salary: ₱40,000 per month.
- Employment Type: Full-time, 40 hours per week.
- Work Arrangement: Remote, with work performed within the specified location.
- Working Schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m. Eastern Time.
