The Project Coordinator is responsible for coordinating and managing the day-to-day implementation of the RISE (Rapid Interventions through Shared Engagement) project, ensuring activities are delivered on time, within scope, and in line with project objectives, donor requirements, and organizational standards. The role supervises and provides technical guidance to the Project Officer, ensuring high-quality community engagement and effective field implementation. Working closely with district and village governments, schools, local partners, and relevant government agencies, the Project Coordinator oversees the implementation of contingency planning, Desa Tangguh Bencana (DESTANA), Satuan Pendidikan Aman Bencana (SPAB), and community resilience activities, including food security and financial literacy initiatives. The position also serves as the primary liaison with the district government, fostering strong partnerships and supporting the development and institutionalization of district contingency plans. In addition, the Project Coordinator monitors project progress, addresses implementation challenges, coordinates project reporting, and ensures compliance with donor and organizational policies and standards.
About Project:
As part of its partnership with World Vision US, Wahana Visi Indonesia (WVI) will implement the Disaster Risk Reduction (DRR) component of the RISE (Rapid Interventions through Shared Engagement) project under Pillar 1: Preparedness and Disaster Risk Reduction. The project is funded by the U.S. Department of State's Bureau of disaster and humanitarian in collaboration with more than 20 faith-based organizations worldwide. Building on the six-month emergency response implemented in Central Tapanuli from January to June 2026, the project will strengthen local disaster preparedness by supporting the local government to develop contingency plans for priority hazards, assisting villages in establishing Desa Tangguh Bencana (DESTANA), and strengthening school preparedness through Pillar 2 of the Comprehensive Safe School Framework: School Disaster Management. Based on assessment findings, the project will also support communities through small-scale livelihood interventions, including food security and financial literacy activities. In addition, a crisis modifier component is incorporated to enable rapid response should a disaster occur during the project implementation period.
All staff are expected to contribute to Wahana Visi Indonesia’s core approaches—Transformational Development, Advocacy, and Emergency Response. During emergencies, this role may be required to support organizational readiness and response efforts, ensuring timely, coordinated, and accountable delivery of assistance in line with established systems and standards.
1. Strategy Development and Planning:
- Coordinate the development and implementation of detailed project work plans, ensuring alignment with project objectives, donor requirements, and organizational standards.
- Translate the project strategy into operational plans and provide technical guidance to the Project Officer during implementation.
- Coordinate with district government, village governments, schools, and partners to support the development of contingency plans, DESTANA, and SPAB.
- Monitor implementation progress, identify operational risks and bottlenecks, and recommend adjustments to project plans as needed.
- Consolidate field information, implementation data, and lessons learned to support project planning and decision-making.
- Ensure project plans incorporate cross-cutting priorities, including safeguarding, gender equality and social inclusion (GESI), community engagement and accountability (CEA), climate resilience, and localization.
- Facilitate regular planning and coordination meetings with the project team and key stakeholders.
2. Resource and Acquisition Management:
- Coordinate the planning and utilization of project resources, including personnel, materials, logistics, and operational support, to ensure timely implementation of project activities.
- Monitor project expenditures and procurement processes in collaboration with the Finance Coordinator and support teams, ensuring compliance with donor and organizational policies.
- Identify resource gaps and operational needs, and communicate them promptly to the Team Leader to support timely decision-making and project continuity.
3. Capacity Building:
- Coordinate and facilitate capacity-building activities for village governments, schools, community groups, and local partners on contingency planning, Desa Tangguh Bencana (DESTANA), Satuan Pendidikan Aman Bencana (SPAB), and community resilience.
- Provide technical guidance, coaching, and on-the-job support to the Project Officer to ensure quality implementation of project activities.
- Support local government and community stakeholders in applying project tools, guidelines, and standards throughout implementation.
- Monitor the effectiveness of capacity-building activities and identify additional learning needs to strengthen project implementation.
4. Accountability:
- Coordinate and oversee the implementation of project activities in accordance with the approved work plan, budget, quality standards, and project timeline.
- Supervise and provide technical support to the Project Officer, ensuring effective community engagement, quality implementation, and timely completion of activities.
- Ensure safeguarding, child protection, gender equality and social inclusion (GESI), and Community Engagement and Accountability, feedback mechanism are integrated across all project activities.
- Monitor project progress, conduct regular field visits, and review implementation quality, identifying issues and recommending corrective actions where necessary.
- Facilitate coordination, reflection, and review meetings with project staff, government counterparts, and community stakeholders to capture lessons learned and inform adaptive management.
- Consolidate and review monthly, quarterly, and donor reports, ensuring timely submission and compliance with organizational and donor requirements.
5. Networking and Coordination Development:
- Establish and maintain effective working relationships with district government agencies, village governments, schools, local partners, and other key stakeholders to support project implementation.
- Represent Wahana Visi Indonesia in district-level coordination meetings, technical working groups, and relevant DRR forums.
- Coordinate stakeholder engagement to ensure government, community, and partner participation in contingency planning, DESTANA, SPAB, and community resilience activities.
- Strengthen collaboration with local organizations, community-based organizations, faith-based groups, and the private sector to leverage resources and promote project sustainability.
- Ensure consistent communication of WVI's mission, project objectives, and organizational policies to stakeholders while maintaining positive organizational relationships.
- Monitor the local operating environment, including policy developments, stakeholder dynamics, and emerging risks, and provide regular updates to the Team Leader.
6. Management & Leadership
- Supervise, coach, and provide day-to-day technical guidance to the Project Officer to ensure quality implementation and achievement of project targets.
- Develop and monitor team work plans, performance objectives, and regular progress reviews, providing timely feedback and support.
- Coordinate and consolidate project documentation, activity progress, and monthly reports for submission to the Team Leader.
- Foster a collaborative, accountable, and high-performing team culture while promoting Wahana Visi Indonesia's values and Code of Conduct.
- Serve as a positive role model by demonstrating professionalism, integrity, effective communication, and strong relationships with internal and external stakeholders.
- Identify, monitor, and manage project risks—including safeguarding, fraud, security, and operational risks—in accordance with organizational policies and procedures.
- A bachelor's degree in social sciences is preferred, but candidates from other fields are also welcome.
Requirement
- Minimum of 3-5 years of work experience or at least 1 year as a supervisor/coordinator in humanitarian programs.
- Preferably experienced in coordinating between sub-district and district-level government institutions and humanitarian organizations.
- Proficiency in Bahasa Indonesia is required, and knowledge of local languages in the project area is preferred. English proficiency is an added advantage
- Familiarity with the conditions of the service area.
- Have his/her own vehicle. 50% Field 50% Admin.
- Must understand the field conditions and their limitations, as you will reside in the service area.
- Prepared to engage in field mobility activities.
