The HT Group is partnering with a leading Compliant Security company to find an Office Coordinator! In this role you will be responsible for managing the day-to-day functions of the office and providing top-notch administrative support to members of the leadership team. You will play an important role in coordinating company gatherings, celebrations, and events, both in-office and off-site. We are looking for a dynamic, energetic professional that is ready to take on any given task at hand.

Part-time Position

Responsibilities:

  • Support Executive team with a variety of administrative tasks such as scheduling meetings, booking travel arrangements, and preparing reports and presentations
  • Plan weekly catered lunches, creative company gatherings, special events, and holiday parties
  • Coordinate guests visits and greet all incoming guests
  • Ensure common areas such as kitchen and conference rooms are stocked and organized
  • Act as main point of contact for all office and/or building issues
  • Send expense reports, invoices and other necessary communications to the Finance Department
  • Perform data entry and filling duties as needed, manage the filing systems in the office
  • Coordinate mail, parcel shipments, tracking, and delivery
  • Collaborate with HR to assist with onboarding new hires – distribute paperwork, set up desk and equipment, and provide tour of the facility
  • Attend conference calls and meetings as necessary, documenting minutes and action items
  • Take on additional duties and special projects as needed

Requirements:

  • High school diploma required; Associates degree preferred
  • Marketing experience or interest in marketing is helpful
  • 4+ years of professional experience in an office environment
  • Must be proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Positive, can-do attitude
  • Highly organized and attentive to detail
  • Ability to manage multiple tasks/projects at once
  • Strong team player who can also work independently
  • Excellent written and verbal communication skills
  • Dependable with a strong work ethic
