Veda’s CEO seeks a highly organized and deeply intuitive Scheduler to help her manage a dynamic and exciting schedule. This is not an entry-level position. The ideal candidate should have prior experience as a scheduler, or executive assistant, for a high-energy, be-everywhere, always-say-yes executive who travels extensively and needs a scheduler who can be her gatekeeper and make decisions, balancing competing priorities without explicit information. We are looking for a detail-oriented problem-solver who can manage the challenges of an ever-changing schedule with patience and efficiency. Responsibilities

    • Preparing, managing, and maintaining daily and long-term schedules
    • Coordinating and making all travel arrangements
    • Coordinating logistics for events
    • Evaluating, organizing, and responding to all incoming meeting and event requests
    • Coordinating all briefing materials for meetings and events
    • Communicating any changes in the schedule to the CEO, Executive team, staff, and outside parties in a timely, respectful, and professional manner
    • Acting as a liaison across Veda
    • Coordinating with the Marketing & Communications team and other staff to schedule press interviews and other appearances
    • Handling CEO correspondence
    • Managing operational and logistical support for the office
    • Responding to all incoming scheduling requests, invitations, and other scheduling related inquiries in a timely, reliable, and professional manner
    • Coordinating closely with appropriate staff to ensure preparation and delivery of the CEO’s briefing materials
    • Assisting the CEO outside of regular business hours, sometimes on evenings and weekends
    • Candidates must be able to perform all job responsibilities in a discrete and trustworthy manner, anticipate and reprioritize as scheduling changes occur, ensure the CEO’s timeliness and preparedness for each meeting, work collaboratively and respectfully with others, and have the temperament and ability to communicate with a variety of personalities in a tactful, pleasant, and professional manner. Applicants should have a positive attitude, sense of humor, excellent organizational skills, strong written and verbal communication and interpersonal skills, high emotional quotient, and an ability to thrive in a fast-paced environment.
