News-Press & Gazette Company is seeking a team-oriented, motivated, self-starter to fulfill an opening on the Accounts Payable team. The Accounting Associate II will be responsible for various Accounts Payable duties across multiple business entities in a fast-paced environment. This position requires strong attention to detail and the ability to collaborate with various departments, vendors, and internal team members in a professional and efficient manner. Key responsibilities include accurately processing vendor invoices, reconciling accounts, and ensuring timely payments while maintaining compliance with company policies and financial regulations. This role also serves as a key point of contact for accounts payable inquiries and supports month-end close and audit processes.
Essential functions of this role:
- Accurately and efficiently enter vendor invoices into the accounting system, distribute invoices for approval, and process vendor payments.
- Match invoices with purchase orders to ensure proper coding and resolve discrepancies.
- Balance A/P subsidiary ledger to the general ledger
- Serve as a point of contact for questions related to accounts payable: delinquent invoices, payment discrepancies, credits received, purchase order and invoice discrepancies, research of statement balances, credit applications, and act as liaison between our companies and vendors.
- Maintain and update Vendor Master Files, including vendor terms, discounts, federal ID numbers, ACH/wire payment setup, and W-9 file management.
- Maintain AP documentation for audit purposes and assist with internal and external audits.
- Ensure compliance with sales and use tax requirements on applicable transactions and proper payment processing.
- Perform purchasing and gas card reconciliations.
- Assist with month-end and year-end closing, including accruals and financial reporting.
Requirements/Preferences for success:
- 2+ years of experience in accounts payable or general accounting.
- Associate or bachelor’s degree in accounting, Finance, or a related field (preferred).
- Proficient in accounting software, Microsoft Office, and Adobe Pro.
- Ability to prioritize tasks and meet deadlines in a fast-paced corporate environment.
- Excellent analytical, problem-solving, and communication skills.
- Ability to meet deadlines with precision and accuracy.
- Work effectively with colleagues and act with integrity, courtesy, and responsibility.
- Willingness and ability to work flexible hours as needed.
- Must pass a background check and drug screening.
