Basic Function: To perform bookkeeping and accounting functions for the South Carolina Press Association (SCPA) and its affiliated organizations, South Carolina Newspaper Network and the SCPA Foundation.
Specific Responsibilities:
- Perform bookkeeping functions for ad networks and display advertising, including:
- Maintain accounts receivable and accounts payable. Collect past due accounts.
- Process payments to newspapers and other state associations in a timely manner.
- Match payments on display advertising invoices with invoices from newspapers.
- Post daily bank deposits to QuickBooks.
- Reconcile credit card transactions.
- Prepare and submit quarterly ad network payout checks to Co-Executive Director.
- Handle all functions of company payroll, including:
- Prepare payroll, submit to Co-Executive Director for approval and create ACH transactions.
- Make all tax withholding deposits and maintain records for quarterly and year-end reports.
- Prepare/submit all quarterly or annual payroll reports.
- Use QuickBooks accounting software for all company bookkeeping functions. Input data and generate reports to make month-end or quarterly reports.
- Make daily cloud-based backups of QuickBooks data and weekly backups to local server.
- Respond to all accounting questions from members and clients. Be proactive with problem accounts.
- Make financial reports at sales/staff meetings.
- Prepare for and assist outside CPA firm with yearly audit/review.
- Be knowledgeable in accounting procedures and follow them in company bookkeeping.
- Must be proficient with QuickBooks and ideally will have experience with Microsoft Office and e-commerce platforms. Will be expected to learn to use the accounting functions of our proprietary ad software immediately upon hiring.
- This is an in-office job, but there is some flexibility in work hours. A typical work week is expected to be 30-32 hours per week.
Internal Relationships: Reports to Co-Executive Directors. Works closely with Advertising Coordinator and SCPA interns.
External Relationships: Phone and email contact with members, advertising and accounting staff. Phone and email contact with clients regarding past due accounts or questions about payments and credit problems.
Compensation: Pay will be on an hourly basis. A standard work week is expected to be 30-32 hours. Compensation will also include potential for quarterly profit sharing. Minimal car usage and travel may be required, with reimbursement of all mileage and other necessary travel expenditures.
