ABOUT THE JOB:
FD Thomas is looking for a detail-oriented Accounts Payable Specialist to ensure the timely and accurate processing of invoices and payments for assigned entities. Key responsibilities include entering and batching invoices, securing necessary approvals, reviewing and distributing invoices appropriately, maintaining credit application records, and verifying the accuracy of data entered by team members.
This role offers a dynamic mix of accounting, compliance, and operational support. You will be joining an established and diverse team, where you will be able to make an immediate impact. Your desire to be highly organized and detail-oriented will allow you to achieve maximum success.
Responsibilities:
Accounts Payable & Vendor Management
- Accurately enter high-volume vendor invoices into Vista, ensuring proper job, phase, and GL coding.
- Coordinate invoice approvals with project managers and post to job cost and general ledger.
- Process payments for open invoices and manage weekly employee reimbursements and advance checks.
- Reconcile vendor statements, resolve discrepancies, and maintain vendor records including W-9s and 1099s.
- Monitor the AP inbox and respond to inquiries in a timely and professional manner.
Accounts Receivable & Cash Management
- Enter AR invoices and apply cash receipts to outstanding balances.
- Record daily cash management transactions and maintain accurate financial records.
Licensing & Regulatory Compliance
- Prepare and manage contractor and business license applications and renewals at the city, county, and state levels.
- Complete credit applications and support vendor onboarding processes.
- Ensure timely filing of all required tax reports, including Sales & Use Tax, Gross Receipts, B&O Tax, DOT Mileage, IFTA, and environmental returns.
Job Costing & Expense Allocation
- Allocate monthly cell phone and fuel card expenses to appropriate jobs.
- Process company credit card transactions (e.g., Visa, Home Depot, fuel cards) in coordination with project managers.
Administrative & Team Support
- Assist team members with Excel reports, data queries, and Viewpoint downloads.
- Maintain confidentiality of sensitive company and personnel information.
- Take on additional responsibilities as needed to support business operations.

In addition to your passion and purpose, to be successful in this Accounts Payable Specialist role, you will possess the following:
· High School Diploma or equivalent
· Degree and/or certification in accounting or finance is a PLUS!
· Experience with Vista Accounting is a PLUS!
· 3 years’ experience performing similar functions in a position of responsibility
· Understanding of end-to-end AP cycle, including invoice processing, purchase orders, payment runs, and vendor reconciliation
· Solid grasp of GAAP or other relevant accounting standards
· Experience with 2-way and 3-way matching of invoices, purchase orders, and receipts
· Familiarity with employee expense reimbursement systems and policies
· Ability to communicate with vendors regarding payment status, discrepancies, and account resolution
· High attention to detail with strong data entry and organizational skills
· Experience assisting with accruals, reporting, and reconciliation during month-end close
· Knowledge of internal controls, audit requirements, and document retention policies
· Intermediate to advanced Excel skills (e.g., VLOOKUP, pivot tables, and formulas) and Microsoft suite.
