Job Summary
This position provides administrative support to the Managers within RTC/NT, as well as to the department overall.
Job Responsibilities:

Provides direct support to Managers of RTC/NT.
- Assists with recruiting process for Captionists, schedules/coordinates interviews for department managers.
- Processes paperwork for new staff members.
- Orders training materials and proctors testing for new captionists.
- Prepares and processes Employee Action Forms (EAF's) for all staff changes, hiring/termination/moves, etc., updating FTE database, processing new job postings via RIT Brass Ring.
- Updates signage and department lists. Input and administer Kronos, vacation and absence time reporting for administrative staff.
- Maintains and reconciles budget:
- preparing budget reports, PCM's, purchase orders, petty cash vouchers, processing journal entries, processes invoices for payment and track charges on department procurement card.
- Responsible to coordinate and maintain a system of inventory of RTC laptops. Accepts problem laptops, issuing replacement, updates inventory and enters NTID ITS problem report.
- Schedules RTCNT meetings and location, ordering materials and refreshments as needed. Document meeting minutes and publishing to RTC/NT share.
- Maintains database of office keys, office locations and equipment assignments.
- Initiates and monitors requests for keys, office signage, telecommunication work orders, and personnel information for staff.
- Updates contact information for department.
- Orders non-general office supplies for captionists related to captioning (typing stands, cases, microphones, goggles, lab coats) and big ticket items.
- Serves as department point of contact for FMS and telecom.

Works as a liaison with other staff assistants within Real-Time Captioning and Notetaking Services.
- Backs up other staff assistants as needed.
- May provide support in the form of real-time captioning services if warranted.
- Provides back-up support to Assistant Dean and Director of Access Services if needed.

Required Qualifications:
Education/Experience:
- Three to five years office management experience.
- Experience with Oracle, and Kronos or similar systems
- Ability to work well under pressure and coordinate projects simultaneously
- Advanced skill in Microsoft Office Suite
- Excellent interpersonal skills (students and colleagues)
- Excellent customer service skills
- Excellent verbal and written communication skills Intermediate sign language skills or a willingness to learn
- Advanced computer skills
- Organizational skills
- Ability to manage budget constrains while managing various projects Ability to maintain confidential information
Preferred Qualifications:
- Budgeting experience
- Oracle experience
- Kronos experience
