Job Overview
We are seeking a highly organized and detail-oriented Administrative and Financial Assistant to join the staff at Northwest United Methodist Church. The ideal candidate will provide essential support to the Pastor and the Church ensure the accurate and timely operations of the church office. This role involves managing various administrative and financial tasks, assisting with data entry, and maintaining effective communication within the staff and with the congregation membership. The ability to work collaboratively with the Pastor, the Staff, and various leadership positions within the Church are crucial for the success of this position. A working knowledge of standard computer software and ability to adapt to new online computing systems is essential in this role.
Reports to: Northwest UMC Leadership Team and works under supervision of the pastor.
Desired Qualifications:
- Bachelor's degree and/or equivalent position experience
- Experience with computer technology, graphics and business application programs
- Have basic accounting knowledge and keyboarding skills
Part Time:
- 15 hours/week at an hourly rate dependent on breath and years of experience (hourly rate range: $26-$30/hour)
- Work schedule to be 3 days/week, 5 hours per day.
- Extra hours may be required around seasonally busy times (Holy Week/Easter, charge conference, Advent/Christmas)

Evaluation: The Administrative and Financial Assistant will have an annual performance review by the pastor and Leadership Team. Upon hiring, the Administrative and Financial Assistant will serve a ninety calendar-day probationary period, after which a job performance evaluation will be made. The probationary period may be extended by Leadership Team action. During the probationary period, the employee may be terminated without cause.
Required Job Functions and Accountabilities: Part-time job, approximately 15 hours per week
Daily tasks
- Sending and Receiving mail
- Phone calls and messages
- Email correspondence
- Inter-church communications
Weekly tasks
- Prepare and print weekly and special service bulletins
- Maintain weekly attendance records
- Analyze bills
- Pay bills
- File bills
- Provide general assistance to pastor as requested
- Provide content updates to the website hosting company (upcoming events, news, photos, etc.)
- Maintain social media presence for Northwest
Accounting
- Responsible for debits and credits in checking and savings accounts
- Disperse pre-approved Good Samaritan funds as directed by the pastor
- Disburse funds to missionaries as directed by the Missions Committee
- Enter accounting activity into double entry accounting program
- Reconcile bank statements
- Prepare payroll and payroll tax liabilities
- Quarterly file federal and state tax reports
- Prepare W2 and 940 forms
- Prepare financial reports:
- Missions report
- Other reports as requested by the church treasurer
- Prepare records for annual financial audit
- Perform other accounting duties as assigned
Other Tasks
- Preparation and distribution of Family Ties Newsletter (electronic and print)
- Report maintenance issues to the Trustees
- Maintain membership directory
- Responsible for general computer maintenance
- Charge conference report preparation
- Order office, kitchen, and cleaning supplies as needed
Expectations:
- Work with the pastor to provide meaningful worship experiences which includes attending weekly staff meetings
- Work with the NUMC Treasurer and Financial Secretary to successfully complete the financial duties described above.
- Coordinate with the Prospect UMC Administrative Assistant on pastor directed activities as part of the 2-point church charge.
- Prior to a planned absence, essential duties must be performed for the period of absence or appropriate coverage coordinated in advance of planned absence
- Requests for an absence must be made a minimum of two weeks in advance to the Leadership Team Chairperson and the pastor.
- Notification of sick time must be given to the pastor and Leadership Team Chairperson in advance of scheduled work time (phone call, text, or email).
- Provide a minimum of 30 days’ notice prior to resigning from this position at Northwest United Methodist Church
- The Administrative and Financial Assistant is encouraged to develop and grow personal relationships with this church family through Christian fellowship.
