The Administrative Assistant I will serve as a key member of the Student Financial Services team, acting as a primary point of contact for inquiries related to financial aid and student accounts. This position is responsible for delivering exceptional customer service through phone, email, in-person, and virtual interactions. Strong writing skills are essential, as the role involves frequent, detailed, and professional email communication with students, families, and colleagues. The position also provides administrative support to both the Financial Aid and Student Accounts Offices and assists students and families in navigating the college financing process.
Job responsibilities include, but are not limited to:
- Serve as the initial point of contact for a high volume of inquiries, primarily by phone and email, related to financial aid, billing, and payments.
- Provide accurate, courteous guidance on institutional financial policies, student account charges, payment methods, financial aid eligibility, and award disbursement.
- Explain financial aid application status and eligibility by reviewing and interpreting academic and financial records.
- Support students and parents in using self-service tools within the student portal to access and manage financial aid and billing information.
- Process, scan, index, and track confidential documents with attention to accuracy, quality control, and data security.
- Post payments to student records in Banner using the TouchNet payment system.
- Provide general administrative support including document management, mail processing, and letter production and distribution.
- Process tuition and fee waivers and coordinate with third-party sponsors or agencies.
- Assist in administering the Federal Work-Study program, including onboarding, tracking, and general oversight of work-study students employed by Student Financial Services.
- Support special projects, outreach campaigns, and other duties as assigned.
- Represent the department at events such as orientations, open houses, and enrollment and recruitment sessions, both virtual and in person.
- Maintain up-to-date knowledge of relevant federal, state, and institutional policies, including the confidentiality of student records (FERPA), secure handling of credit card information (PCI), and safeguarding of personal financial data (GLBA).
Job Requirements:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. *
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. *
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred:
- Experience working with and supporting a diverse population.
- Strong interpersonal and communication skills, both oral and written.
- Demonstrated ability to write clear, professional, and student-friendly email communications.
- Experience in payment processing or transactional data entry.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Experience with Banner or similar enterprise resource planning (ERP) systems.
- Familiarity with federal and state financial aid regulations.
- Previous experience in higher education, preferably at a community college.
- Demonstrated commitment to providing high-quality customer service.
- Fluency in one or more languages in addition to English.

Position Status: AFSCME union position, full-time, state funded with benefits.
Hours: 37.5 hours per week. This position may require occasional evening and weekend work and may be eligible for telework in accordance with the College's telework policy.
Salary: $2,028.38 bi-weekly ($52,737.88 annually) Grade 15, Step 1
