Administration Assistant – Transportation Operations

As we continue to elevate our operations, we’re seeking a seasoned Senior Executive Assistant who will also manage key office functions, ensuring both our leadership and our day-to-day operations run without a hitch.
Role Overview
As administrator assistan, you will be the right hand to our leadership team and the backbone of our Frisco office. Your dual focus will ensure executive priorities are executed efficiently while maintaining an organized, professional workplace for chauffeurs, staff, and high-end clientele.
Key Responsibilities
- Provide high-level support to C-suite executives, including:
- Managing calendars, meeting coordination, and travel logistics
- Drafting correspondence, presentations, and executive reports
- Acting as gatekeeper for calls, inquiries, and stakeholder engagements
- Own office management duties:
- Oversee office supplies, equipment maintenance, and vendor relationships
- Handle mail, courier services, and petty-cash requisitions
- Coordinate facility needs, front-desk coverage, and meeting-room readiness
- Support transportation operations:
- Access and manage our backend application to accept and schedule member rides
- Coordinate with chauffeurs through resources for real-time dispatch updates
- Assist with minor payroll processing, time tracking, and invoice preparation
- Generate and distribute operational reports; follow up with chauffeurs on outstanding items
- Deliver client care excellence:
- Proactively check in with members to ensure satisfaction and anticipate needs
- Address and resolve member inquiries or concerns with professionalism
- Support sales activities, including prospect research and cold-calling, email follow-up’s when required or interested. Sales commissions are separate.

Qualifications
- 5+ years of executive‐level assistance, office management, or equivalent experience
- Exceptional verbal and written English skills; clear, client-friendly accent
- Proven professionalism in client-facing roles
- Advanced organizational skills with a knack for anticipating needs and problem-solving
- Tech-savvy: comfortable with mobile apps (Android required), MS Office, and scheduling platforms
- Experience with payroll/time-tracking systems or quick willingness to master new tools
- Flexibility to cover busy weekends and occasional after-hours demands (16-20 weekend hours a month)
- Sales aptitude or enthusiasm for light prospecting and follow-up activities

Pay: $15.00 - $20.00 per hour
