The Perinatal and Reproductive Wellness Group (PRWG) is a specialized mental health practice dedicated to supporting individuals and families through the perinatal, reproductive, and parenting journey. Our team of clinicians provides compassionate, evidence-based care in a collaborative environment. We are seeking an organized, detail-oriented Administrative Assistant to help support the daily operations of our growing practice.
Position Summary
The Administrative Assistant plays a key role in ensuring the smooth functioning of the practice by providing front-line administrative and operational support. This position is ideal for someone who is proactive, empathetic, and highly organized, with strong communication skills and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Client Support & Communication
- Serve as the first point of contact for clients via phone, email, and practice management platforms.
- Respond promptly and professionally to inquiries, providing information about services, scheduling, and policies.
- Maintain confidentiality and sensitivity when interacting with clients, particularly around reproductive and perinatal concerns.
- Scheduling & Coordination
- Manage clinician calendars, schedule client appointments, and confirm sessions.
- Coordinate group sessions, workshops, and special events.
- Assist with rescheduling, cancellations, and waitlist management.
- Practice Operations
- Maintain accurate client records and documentation within the electronic health record (EHR) system.
- Support insurance and billing processes, including verifying benefits and processing claims as directed.
- Track administrative tasks and deadlines to ensure efficient workflow.
- Team Support
- Provide administrative assistance to clinicians and leadership staff.
- Assist with onboarding new staff and clinicians.
- Support communications and outreach, including newsletters, client resources, and practice updates.
- General Office Management
- Maintain office supplies and inventory (if on-site).
- Support technology troubleshooting for clinicians and clients.
- Perform other administrative duties as assigned.
Qualifications
- Previous administrative or office support experience (healthcare, counseling, or wellness setting preferred).
- Strong organizational and time-management skills with attention to detail.
- Excellent written and verbal communication skills.
- Comfort working with sensitive and confidential information.
- Proficiency in office software (Google Workspace, Microsoft Office) and familiarity with practice management or EHR systems preferred.
- Ability to work independently and collaboratively in a supportive team environment.
